About the Role
The Office Assistant is responsible for providing exceptional reception and administrative services working out of the Luxuria Group Head Office. The ideal candidate will be an adaptable individual, with a high degree of professionalism, organizational skills, and the ability to manage competing priorities in a fast-paced, growing, and dynamic organization.
Job Duties and Responsibilities
- Greet guests and answer and direct phone calls in a timely manner.
- Provide support to our executive team.
- Support the planning and coordination of corporate meetings and events.
- Maintain facilities management to coordinate building requests, provide access cards and schedule maintenance requests.
- Manage and coordinate mail and delivery services.
- Coordinate IT equipment for new and existing employees including the set up and management of office phones as well as computer hardware requests.
- Maintain office services, including managing office and kitchen supplies inventory and ensuring office equipment is operational.
- Assist with invoicing and the processing of expense reports.
- Support with implementation of new office procedures and continuous improvement of business processes as required.
- Create and update existing print and online directories.
- Assist other departments with projects as required.
Qualifications
- Bachelor’s degree or diploma in related field. High school diploma and equivalent work experience may be considered.
- Advanced skills in MS Outlook, Excel, Word, and PowerPoint
- Welcoming, positive "can-do" attitude
- Excellent communication skills both verbally and in writing
- Self-starter with the ability to work without immediate day-to-day supervision.
- The ability to meet tight deadlines in a fast-paced quickly changing environment.
- Strong attention to detail
