Job description

General Introduction

This position has primary responsibility to ensure that the highest levels of services are provided to the Members, guests, tenants and guests of the Registry Collection (the “Members”) at all times. The position requires the demonstration of strong leadership, a high level of energy in the performance of all duties and the rendering of exceptional customer service skills to the Members.

This position will oversee, supervise and direct the activities of all housekeeping and maintenance staff and all trades and contractors servicing the Villas, the amenities and the common areas of the Club (the “Property”) with the goal of ensuring that the Property is maintained to a high standard and the Members’ needs are met.

The position reports directly to the Property Manager appointed by the Club from time to time.

The position ensures that appropriate systems and controls are developed and implemented consistently in concert with the Property Manager for maintenance, repair and housekeeping, staff supervision and good relations with Members.

The position requires handyman services to be provided of a nature that does not require a licensed trade.

The position requires training skills, the ability to communicate effectively orally and in writing and the ability to motivate employees to accomplish their tasks effectively. Basic computer skills are essential including office software and the ability to learn new programs from time to time. A Pool Operators Certificate, First Aid and AED Certificates are required and are to be maintained throughout employment. The Club will reimburse for approved training a certification programs with prior approval.

This position has a fiduciary duty to the Club and the Operations Manager must conduct himself in a highly professional manner to reflect the high standards of the Club and, at all times, act honestly and in good faith.

Job Duties and Responsibilities

Job duties and responsibilities include but are not limited to:
- Knowledge of Club Bylaws, Policies, Rules and Procedures (copy given upon employment);
- Liaising with Members to ensure a high level of service for the Members is offered at all times throughout the Club;
- Maintaining Member safety, communicating and ensuring compliance with Club Rules by Members;
- Maintaining Site Maintenance Reports;
- Maintaining Confidential Information; and
- Supervising Site Staff and Trades.

General – All Year
- Implement Operation Manuals and recommend updates as required
- Train and supervise site staff
- Promote proper orientation and training of employees, as well as maintain an on-going in- house education program
- Plan for and schedule manpower for the Club and maintain accountability for the performance of the employees
- Maintain responsibility for the hiring, training, and proficiency of all site employees
- Train staff on how to handle emergency situations
- Monitor performance of personnel and recommend change(s) when necessary
- Maintain employee safety, health and morale
- Implement management tools, establish departmental goals and monitor results
- Ensure emergency numbers readily available for fire, police and medical emergencies

Property Maintenance
- Ensure that the Club is maintained to a high standard of appearance and cleanliness
- Maintain overall safety, preservation of health and life safety standards in accordance with the Occupational Health and Safety Act for all work performed at the Club
- Maintain regular scheduled maintenance programs
- Maintain operational manual on all regular maintenance duties including but not limited to water treatment, waste treatment, pool and hut tub etc
- Be educated on the operation of all equipment on the Club and in the villas
- Ensure Members and staff are aware of safety procedures
- Maintain accountability for issuance and control of all keys
- Perform duties as may be required to ensure the site is maintained in a safe and operational condition
- Perform handyman skill level repairs as required
- Assist in snow removal duties as required

Life Safety
- Maintain and train staff on procedures regarding fire safety evacuation plan
- Ensure emergency numbers are readily available to all persons at the Club including employees
- Ensure Members and staff aware of the 911 numbers for villas
- Ensure emergency numbers readily available for fire, police and medical emergencies

Reporting
- Provide the following reports:
- Weekly staff schedule report
- Monthly report of maintenance issues requiring attention
- Monthly report of trade site activity
- Incident report for all accidents or unusual incidents on the property (fire, death, injury, accident, etc.)

Departmental Responsibilities
- Housekeeping - Direct the activities of housekeeping in providing service to the Club and participate in cleaning of villas, if required, if order to meet check in timelines
- Payroll - Be responsible for preparation and verification (approval of time sheets) of payroll for all the employees of the Club
- Purchasing - Approval of all purchase orders issued for site purchases
- Credit Card – handle the credit card provided in a safe and careful manner spending when approved in advance by the Property Manager

Security – All Year
- Identify, anticipate, and resolve security issues as they arise
- Educate Members by explaining cautionary measures
- Secure Members by helping them during evacuations or accidents
- Document actions by completing accident reports and logs as needed
- Protects Members and property by patrolling and monitoring the premises
- Identify site hazards and address as needed
- Inspect safety devices and alarms
- Respond to and Investigate complaints; observing and intervene in suspicious situations; call local law enforcement for assistance if necessary and maintain good relations with all law enforcement and municipal employees

Emergency Service
- The Operations Manager shall be on call for emergency purposes at all times of the day or night (except for those times when absent from the Club during days off or on vacation)
- When Off-Duty, the Operations Manager shall ensure that appropriate arrangements are in place to ensure that someone is available to deal with an emergency.
- If the Operations Manager is Off-Duty, but on the Property, it is expected that he will respond to any emergency on the Property. Emergencies shall be defined by the Club and are subject to change at the discretion of the Club.
