To uphold and enhance this standard, HFS is actively searching for an experienced Operations Manager. This key role involves overseeing the day-to-day activities of the warehouse with a focus on optimizing processes for maximum productivity.

The ideal candidate for this position will possess a keen business acumen and a track record of successfully managing warehouses. Beyond operational expertise, the Operations Manager must demonstrate proficiency in human resources, budgeting, and technology. Cultivating an environment of trust, diversity, and inclusion within the warehouse team is paramount to aligning with HFS's mission.

Directly reporting to the CEO or designate, the Operations Manager holds a pivotal role in the management and coordination of all warehousing and distribution functions within Hamilton Food Share's facilities. This entails overseeing inbound and outbound freight while ensuring strict adherence to legislative, safety, and organizational policies and procedures. The Operations Manager will exercise effective logistical oversight through strong leadership and sound decision-making skills.

Moreover, this role extends to the Food Acquisition and Distribution program, encompassing the food procurement system for food sourcing and bulk buying as well as the department budget. The Operations Manager will proactively address challenges, bridging gaps in the day-to-day implementation of operations.

Job Requirements

  • G license
  • Current and clean abstract from the Ministry of Transportation
  • Forklift License (current preferred, training provided)
  • Criminal Record Check

  • First Aid Certification (training provided)

Warehouse Operations Planning and Management

  • Oversee all warehousing activities including but not limited to receiving and distribution.
  • Develop a warehouse operational plan that aligns with the strategic direction of the organization.
  • Increase the efficiency of existing processes and procedures to enhance the warehouse’s receiving and distribution capacity.
  • Develop warehouse operational systems by analyzing process workflow.
  • Oversee the efficient and effective day-to-day operations of the warehouse and draft operational policies, procedures, and communications to implement the operations.
  • Develop, implement, and maintain quality assurance protocols.
  • Review existing policies and procedures on an annual basis and recommend changes as appropriate.
  • Identify and recommend capital infrastructure needs as well as future equipment replacement.
  • Trouble shoot and assist warehouse team in diminishing operational challenges and increasing productivity.
  • Meet warehouse operations by forecasting requirements, preparing budgets, and scheduling expenditures.
  • Develop warehouse design by planning layout, product flow, and product handling systems.
  • Coordination and support of community food drives.
  • Ensure accurate recording of all food acquisition and distribution data in the warehouse database.
  • Ensure adherence to proper practices for perishable food products (FIFO-First in First Out).
  • Provide leadership to warehouse personnel through effective objective setting, delegation, and communication while utilizing the organization’s vision and strategic plan to guide warehouse operations.
  • Oversight of all warehouse maintenance and inspection requirements including but not limited to the equipment and vehicles.
  • Warehouse fiscal year end duties.

Program Planning and Management

  • Work with other departments when appropriate as well as external stakeholders to:
  • Actively research new food sources of donated food and identify types of food needed.
  • Co-ordinate and implement all bulk buy projects with member agencies.
  • Facilitate the research, planning, implementation and evaluation of the warehouse’s programs and services.
  • Monitor the day-to-day delivery of the programs and services of the warehouse to maintain or improve quality.
  • Oversee the planning, implementation, execution, and evaluation of special projects such as the new warehouse database.
  • Provide regular and comparative reports on the warehouse’s progress ensuring that both risks and opportunities have been identified and evaluated.
  • Ensure all program reporting requirements are met in an accurate and timely manner.
  • Submit reports on program activities, as required.

Human Resources Planning and Management

  • Determine staffing requirements for the warehouse and program delivery and make recommendations to human resources.
  • Assist in recruiting, selecting, training, and coaching employees.
  • Set clear, results-oriented goals, with realistic and measurable outcomes through the development of work plans.
  • Evaluate ongoing performances of direct reports and support goal achievement.
  • Establish a positive, healthy, and safe work environment in accordance with all appropriate legislation and regulations.

Community Relations/Advocacy

  • Establish good working relationships and collaborative partnerships with external stakeholders including Hamilton Food Share’s member agencies, community groups, funders, supporters, and other organizations to help achieve the goals of the organization.
  • Be an advocate for the organization and its programs in the community.
  • Interface with and maintain positive relations with member agencies of the emergency food bank network.
  • As directed, represent the organization at major community activities related to food acquisition.

Risk Management

  • Identify and evaluate risks.
  • Ensure policy and procedures are communicated and implemented to control risks.
  • Evaluate in broad-based terms, the potential assets and liabilities of a project, proposal, or strategy.
  • Identify, assess, and inform the senior leadership of internal and external issues that affect warehouse operations.

Health and Safety

  • Ensure corporate policies regarding security and safety are followed to maintain a safe working environment.
  • Ensure any incident or accident reports are completed in an accurate and timely manner, in accordance with HFS procedures.
  • Maintain appropriate and complete documentation regarding regulated products and/or hazardous materials.
  • Maintain organized work area according to policies, procedures, and safety regulations.

Other Duties

  • Perform other related duties as necessary.

Candidate Profile:

Education, Training and Experience

  • Four years of direct work experience in warehousing, shipping and receiving, transportation, supply chain management, inventory control, and/or materials management.
  • Three plus years in a supervisory capacity, preferably in the nonprofit sector.
  • Post-Secondary diploma, degree or professional designation in operations or business management.
  • Must possess excellent English communication skills, both verbal and written to communicate with all levels of the organization and its external members and community partners.
  • High level of proficiency in Microsoft Office (Word, Excel, and Outlook)
  • Working knowledge of database systems and their functions (familiarity with Primarius an asset).

Knowledge, Skills and Abilities

  • Working knowledge of all applicable federal and provincial legislation as it relates to employees within a warehouse environment.
  • Knowledge of hunger issues and the emergency food sector in Hamilton.
  • Knowledge of budgeting and asset planning.
  • Strong organizational and analytical skills.
  • Strong leadership skills, including the ability to work co-operatively and effectively with others to set goals, resolve problems and make decisions.
  • The ability to work in a fast paced and results oriented environment by setting priorities, developing work schedules, and monitoring progress towards goals.
  • The ability to create a warehouse plan and to develop and submit annual warehouse plans and quarterly assessments.

Working Conditions

  • The work can be physically strenuous and demanding.
  • Requires the ability to lift/carry product in a safe manner and pull/push and manage heavy equipment such as manual pallet movers and objects such as skids.
  • May be exposed to extreme temperatures in the industrial cooler and freezer.
  • Exposure to various warehouse conditions and temperatures (hot/cold).
  • Exposure to a noisy environment and outside weather conditions.
  • Must be able to address multiple demands simultaneously.
  • Must be available to work some irregular hours, infrequently during weekdays,
