THIS IS A TEMPORARY REPLACEMENT POSITION FOR A BARGAINING UNIT EMPLOYEE. Terms and conditions of employment are as outlined in the Part-time Support Staff Collective Agreement.
This position has a requirement of working 3 days per week, 8:00 am to 4:50 pm.
Reporting to the Business Manager, the incumbent is the first point of contact for the department and provides administrative, clerical, and technical support for faculty, staff and students within the academic portfolio. They provide committee support, and back up administrative support to the to the Dean/Associate Dean as required. Specific duties include, but are not limited to:
- Prepares and distributes Dean’s List letters
- Manages office logistics (sorting/prioritizing/distributing mail), maintains office filing systems
- Monitors and orders printer supplies and assists with/demonstrates use as required; monitors and maintains inventory and orders office supplies using PeopleSoft Finance
- Submits Work Orders
- Maintains documentation for orientation of non-full-time faculty
- Collects and files course syllabi for all program courses;
- Provides administrative support to Apprenticeship program: prepares packages, orders supplies, pulls reports using Banner and enters grades
- Maintains department staff directory and distribution lists
- Provides support to Academic Program Assistant with KPI surveys
- Maintains MarketPlace software for accrediting-body tests: updates testing timelines, costs, logistics
- Arranges Health & Safety inspections for the Academic portfolio and maintains records/files associated with Health & Safety
- Provides information and customer service related to the Academic portfolio including department walk-ins, email and phone inquiries and where required, triage/escalate complex and or sensitive issues
- Books meetings for Academic Program Coordinators with students using electronic calendars
- Supports Program Advisory Committees by coordinating logistics (room/catering bookings), preparing and distributing the agenda and meeting minutes, updating Board Effects, maintaining membership details, and follows up on action items
- Successfully completed a one-year postsecondary certificate in a relevant field of study that may include, but is not limited to Office or Business Administration
- Two years practical experience in a service-oriented environment
- Proven experience demonstrating interpersonal communication
- Proven organizational skills to work effectively, ability to confidently handle numerous tasks simultaneously, in a fast-paced environment
- Proven ability to work independently and participate as an effective team member
- Experience with Microsoft Office (Word, Excel and PowerPoint)
- Previous educational institution experience is an asset
- Must be available to work 3 full business days per week (i.e. 8:00 am – 4:30 pm)
