Reporting to the HR Manager, the Payroll and Benefits Specialist is responsible for supporting a variety of departments across the spectrum of benefits and payroll.

This position is located in Portage la Prairie, Manitoba and offers flexible work arrangements.

Key Accountabilities

  • Process CAN payroll in ADP (bi-weekly) and serve as payroll backup for US payrolls (weekly, semi-monthly).
  • Monitor timekeeping systems and follow up on exceptions and discrepancies.
  • Maintain CAN payroll system updates including tax rate changes or general system changes.
  • Ensure tax reporting and reconciliations are completed accurately and timely.
  • Create reports for reconciliation, remittance and reporting federal and provincial tax.
  • Ensure compliance with federal, provincial and local payroll, wage, and hour laws and best practices.
  • Prepare bi-weekly, semi-monthly, monthly, quarterly, and year-end reports (gross payroll, hours worked, accruals, tax deductions, benefit deductions, etc.).
  • Manage the issuance of the annual T4Ss, and any other payroll-related forms.
  • Stay up to date on changes in federal/ provincial legislation affecting payroll (including sick leave, Overtime, Vacation and etc.).
  • Ensure management/supervisor team members are trained in how to perform time keeping for their employees (ADP timecards).
  • Serve as main payroll liaison for internal and/or external audits and oversee the collection of audit information.
  • Maintain internal controls to ensure the integrity of the payroll system.
  • Partner with HR Centers of Excellence (COEs) on tier 0 (self-service) and tier 1 document management, including maintaining and updating the HR knowledge base for payroll-related documentation and resources.
  • Support business process upgrades, enhancements, testing and data validation within payroll systems.
  • Support evaluation of new technologies that enable process & productivity improvements.
  • Responsible for time & attendance data maintenance & ongoing process improvements.
  • Own procedure maintenance & creation for assigned scope of work.
  • Maintaining accurate personnel information within our filing system.
  • Ensure compliance with data privacy regulations and best practices.
  • Support HR projects that advance the regional HR agenda, including ongoing digitalization and regionalization initiatives.
  • Lead and manage domestic mobility within CAN for external hires and internal transfers.

  • Bargaining unit knowledge and experience supporting a unionized workforce
  • Able to use all H.R legislation in context related situations.

Technical Applicative competencies

  • Advanced Microsoft Office 365 skills, including advanced excel skills.
  • Strong knowledge of information systems and Payroll-related information technology including ADP WorkforceNow.
  • Good working knowledge of Workday platform.

Education

  • Bachelor’s Degree preferred; Accounting, HR, HRIS (Business Information Systems), or Business.
  • Certified Payroll Professional (CPP) preferred.

Experience

  • Minimum of 3+ years demonstrated experience in Payroll systems (ADP preferably).
  • Experience in an HR shared services team for a large, complex organization, across multiple sites and countries.

Business Trips (Percentage): Up to 5% - Travel to other plants in the U.S.
