Job description

In this exciting role, you will play a critical role in creating memorable United Way events and liaising between multiple departments and vendors to ensure seamless integration and cross-collaboration. This role will lead the team through every aspect of the event's life cycle and be responsible for meeting the expectations of market segments identified by colleagues or supported by market analytics and research. Additionally, the role will build sponsorship matrices for both events and programs to support the organizations long-term strategic goals. This position reports to the Director, Product and Marketing.

  • Leads the process of generating event ideas, conducting research, and formulating creative concepts for successful event execution.
  • Manages all aspects of event execution, including pre-event briefings, troubleshooting, managing the event timeline, coordinating set up and tech requirements, and overseeing tear-down activities.
  • Coordinates all logistical aspects of the events, including venue selection, equipment rental, and design content to ensure a seamless and impactful event experience.
  • Serves as a liaison between cross departmental teams, fostering seamless integration and cross-collaboration to deliver outstanding event experiences.
  • Identifies and understands market segments through collaboration with colleagues, market analytics, and research, ensuring that event strategies and execution meet their expectations.
  • Collaborates with Product Marketing team to plan and execute marketing roll-out meetings, ticketing strategies, and other necessary supports for the event's success.
  • Develops and manage event budgets, ensuring effective allocation of resources and cost control.
  • Leads the cross-departmental event team, providing guidance, direction, and support, and maintaining consistent communication throughout the event planning process.
  • Develops and maintain oversight of critical paths and workback schedules, collaborating with the event team on task assignments and deadlines key to successful event execution.
  • Responsible for the procurement of necessary event insurance and licenses, ensuring compliance with legal and regulatory requirements.
  • Builds and maintain relationships with vendors, guests, and venue representatives to ensure seamless coordination and delivery of event services.
  • Evaluates the success and impact of the event, analyze key performance indicators (KPIs), compiles comprehensive reports on event outcomes and metrics.
  • Leads post-event debriefs, conduct a thorough analysis of event successes and areas for improvement, and make recommendations for future event planning and execution.
  • Identifies opportunities for process improvement, implement best practices, and contribute to the enhancement of United Way's event management capabilities.
  • Collaborates with Sales Team and Portfolio Manager, Products to develop sponsorship matrices for events and programs, supporting the long-term strategic goals of the organization and enhancing revenue generation.
  • Collaborates on the development of sponsorship bundles tailored to customer interest and needs.
  • Coordinates and communicates the fulfillment of United Way’s sponsorship obligations with appropriate event team members, ensuring compliance with stakeholder expectations and agreements.
  • Works closely with the Sales Team to develop and produce sponsorship fulfillment reports in accordance with stakeholder expectations.

About you:

You have a passion and desire to make a difference in our community and are eager to apply your exceptional event, marketing planning, project management and organizational skills, to this role. You have proven experience in developing and launching new events and products to market, in the development and ongoing management of successful product research, development, and lifecycle management process. You have strong working knowledge of partnership and sponsorship activities and requirements, and a solid understanding of community social conditions and fundraising strategy, considered as an asset.

You have a can-do attitude, are outcomes driven, and approach situations with a positive mindset, empathy, and collaboration. Thinking creatively, finding solutions, developing innovative ideas, and building relationships is how you thrive. You are comfortable operating in a digital environment and are proficient with MS Office (we use Office 365 - MS Teams, SharePoint), including experience using Asana or similar project management tool, and enjoy learning and using new technology, and utilizing data and insights in your approach.

You have a post-secondary undergraduate degree/diploma in Business, Marketing or a related field plus a minimum of four (4) to six (6) years of related experience and two (2) to three (3) years consecutively leading event development and production. You have a certification or training in event planning. Equivalent combinations of education and experience will be considered.

A valid driver’s license and vehicle are required as some travel will be involved within Edmonton and the surrounding area, and availability on some evenings and weekends required for event production.
