Summary:
Reporting to the Sr. Project Manager, the Project Administrator is responsible for maintaining all information and documentation on assigned jobs and working with various groups to ensure information is properly communicated with relevant parties.
Responsibilities:
- Update and maintain project timelines and milestones throughout the project as changes occur.
- Collect receipts, aggregate tickets, fuel, etc. for proper and timely job costing.
- Work with various teams, such as Project Management, Superintendents, Foreman, Safety, Accounting, etc., to ensure all relevant information is communicated to the proper groups. Update job site information and crews as changes occur.
- Provide support to the Project Management team to ensure all hours worked, equipment used, and all personnel-related information is properly recorded.
- Match packing slips received from the field with purchase orders issued and invoices received.
- Prepare Accounts Receivable and Accounts Payable invoices ensuring all information is correct and complete and include necessary signatures.
- Upload documentation into systems.
- Maintain organized documentation and filing.
- Other duties as assigned.
Qualifications:
- 1+ years of office-related experience with knowledge of purchasing, accounts payable, and document control is required
- Experience in the construction industry is considered an asset
- Strong customer service skills when dealing with vendors, customers and team members
- Proficiency in Microsoft Applications (Excel, Word, Outlook) and QuickBooks
- Strong organizational skills with a high degree of accuracy and attention to detail
- Ability to handle multiple tasks to meet deadlines
- Ability to work independently, following detailed procedures and tasks
- Excellent communication skills, both written and verbal
