A subsidiary of Aecon Utilities, Voltage is a design build high voltage electrical contracting firm that provides high quality products and services for electrical utilities, independent power producers and large power users.

Reporting to the Supervisor, Administration, the Project Administrator will be responsible for supporting the daily activities of the job site. This position is remote and will support projects within British Columbia, working within PST business hours.

What You'll Do Here:
  • Must be able to complete requests from projects and crews working in British Columbia and/or Alberta (with respect to time zones).
  • Manage hotel bookings and updating for multiple projects.
  • Book and update travel (rail, vehicles, flights) for multiple projects, and make required changes when needed.
  • Assists with various document control type projects, as needed.
  • Assist with generating LEMs or backup for change orders for projects.
  • Learn, interpret, and applies organizational policies, rules, and regulations.
  • Handle invoices with respect to distribution to appropriate departments for approval.
  • Establishes accounts with local suppliers for miscellaneous items for projects, as needed.
  • Assist with hiring / onboarding for new employees (Union and non-union).
  • Collecting field data and timesheet entry (labour and equipment) in FOS.
  • Coordinates and prepares job packages including locates, permits, materials.
  • Inputting and managing subcontractor accruals for various projects.
  • Repetitive movement and prolonged sedentary positioning.
  • Able to perform in a fast-paced environment.
  • Travel to site locations may be required, as necessary based on the needs of the respective projects (project setup, trailer/office maintenance).
  • Goods Receivable (GR)/procurement functions, as needed.
  • Drive an inclusive culture to promote equity, welcome different perspectives, and enable career progression by fostering a sense of belonging.
  • Performs other duties and responsibilities as required.

What You Bring to the Team:
  • 2-5 years’ experience as a Project Administrator in a construction industry.
  • Superior written and verbal communication skills (preparation and proofreading of documents, as needed).
  • Ability to work independently as well as a member of a team.
  • Attention to detail.
  • Ability to accurately follow established processes, while continually looking for continuous improvement opportunities.
  • Ability to show discretion with confidential and/or personal material.
  • Ability to work well under pressure and meet deadlines.
  • Ability to multitask and prioritize workload, handling various job responsibilities at once (document control, booking hotel/flights, reviewing invoicing, accruals, etc.).
  • Professional interaction with all levels of staff within the organization from front line to senior executive.
  • Always exhibit a polite and professional manner.
  • Proficiency in MS Office (Teams, Word, Outlook, PowerPoint, etc.).
  • Highly proficient in MS Excel.

Salary: the annual salary range for this position is $50,000 - $60,000.
