About Us: Harbourfront Residences is seeking a highly organized and dedicated individual to join our team as a Building Manager/Administrator. We are a dynamic condominium corporation committed to maintaining and enhancing the quality of life for our residents.
Position Summary: The Building Manager/Administrator will serve as the frontline representative of the condominium Board, managing administrative activities to uphold the Corporation's policies and regulations. The role involves interaction with owners, residents, visitors, and service providers, with a focus on ensuring the efficient operation and maintenance of the building.
Key Responsibilities:
· Filing and Digital File Management: Maintain organized and accessible digital and physical records.
· Reservations for Amenities: Process and manage reservations for building amenities.
· Resident Interaction: Address resident requests and complaints promptly and professionally.
· Software Management: Update and maintain the Building Management Software (BuildingLink) regularly.
· Vendor Directory: Manage and update the Vendor’s Directory in BuildingLink.
· Compliance: Ensure adherence to building policies, safety codes, and relevant legislation.
· Maintenance Oversight: Schedule and supervise required maintenance events, coordinating with contractors.
· Financial Management: Handle accounts receivable, accounts payable, banking, and bookkeeping.
· Communication: Liaise with residents, visitors, suppliers, cleaning staff, and property management companies.
· Board Meetings: Attend and document Board Meetings, presenting a manager's report as required.
· Flexibility: Be available for after-hours Board meetings or maintenance work as needed.
Working Conditions: This role involves a combination of front-office work and on-site interactions with residents and contractors. The standard workweek is 35 hours, with flexibility for occasional after-hours commitments.

Qualifications and Core Competencies:

· Proficiency in Microsoft Office applications
· Ability to learn and use BuildingLink and online banking platforms.
· Minimum of 2 years’ experience with Sage Accounting or equivalent financial software
· Resilience under stressful conditions
· Excellent organizational and time management skills
· Analytical thinking and sound judgment
Desired Qualification:
· Experience in Condominium or Residential Property Management
