Position Description:
We are seeking a friendly and professional front office staff for our Brokerage. The front office staff is the first point of contact in the branch. The ideal candidate is able to remain calm and cheerful while completing assigned duties, and must also have previous customer service and/or Real Estate experience. The primary duties for this position include support for the branch’s agents, clients, management and peers. Working with peers, the office assistant is responsible for ensuring the efficient functioning of the front desk operations. Incumbents in this job may perform all or portions of the following duties and responsibilities. Applicants must be comfortable working independently as the pace of work is constantly changing.
Duties & Responsibilities:
- Reception duties – answer telephones and emails, book/confirm appointments using Broker Bay, greet clients/walk-ins, input messages using Broker Bay
- Responsible for Social Media, creating marketing materials and Website maintenance
- Upload and Update Listings On MLS
- Scan documents, process new listing documents (price changes, extensions), etc., enter listing information and appointment instructions into Broker Bay and Transaction Desk
- Offers – preparation of offers, amendments, waivers and other related forms/document
- Communicate with residents, vendors, and other external parties
- Provide administrative support to the executives and other staff
- Prepare correspondence, including photocopying, faxing, mailing, delivery and filing
- Maintain and track office supplies
- Properly maintain workspace to reflect professional image
Qualifications:
- Minimum high school education
- Possesses strong written and verbal communications skills.
- Superior customer service skills, including excellent telephone skills
- Ability to multi-task
- Excellent organization & time management skills
- Working experience in the Real Estate industry an asset
- Working knowledge of MS Office (Word and Excel), email and internet
- Working knowledge of Apple Computers
- Working knowledge of Adobe Suite is an asset
- Experience using Broker Bay an asset
