Administrative Assistant

Job Overview and About Us:

We are located in the heart of downtown Lethbridge, in the beautiful Acadia Block, across the lot from Galt Gardens and the Southern Alberta Art Gallery. We are a locally owned private practice multidisciplinary clinic.

Are you an organized, detail-oriented individual with excellent multitasking abilities? Do you thrive in a fast-paced environment and have a strong background in administrative tasks, independent and hard-working individual? We are currently seeking a skilled Administrative Assistant to join our team at Well Vitality. As an Administrative Assistant, you will play a crucial role in maintaining efficient operations and providing exceptional customer service.

Responsibilities:

  • Ability to organize and schedule appointments
  • Assist in preparing and issuing documents related to accounts, including invoices and financial statements, using QuickBooks.
  • Update patient information accurately and efficiently.
  • Handle incoming and outgoing mail and other forms of correspondence.
  • Must have excellent phone etiquette
  • Respond to customer inquiries, providing accurate information and excellent customer service.
  • Greet clients and support clinicians in maintaining a high level of customer satisfaction.
  • Gather necessary documentation and submit health insurance claims.

Qualifications and Experience:

  • Proven experience as an administrative assistant or receptionist and with a scheduling software
  • Knowledge of office equipment, like printers and fax machine
  • Ability to manage social media accounts and promotional ads
  • Excellent time management skills and the ability to prioritize work
  • Excellent written and verbal communication skills
  • Previous experience in an office administration or bookkeeping role is preferred.
  • Exceptional organizational skills and keen attention to detail.
  • Strong analytical and problem-solving skills to handle diverse tasks.
  • Ability to maintain a positive attitude and provide exemplary customer service.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, etc.).

Job Types: Full-time, Permanent

Salary: From $19.00 per hour

Education:

  • Secondary School (preferred)

Experience:

  • Administrative experience: 1 year (preferred)
  • Customer service: 1 year (preferred)
