Reporting to the Procurement Intake Manager within Procurement Operations area of Global Procurement Services, the Senior Analyst, Procurement Intake enables the Sourcing Intake Triage by clarifying and directing needs to pre-existing contracts and suppliers when possible. Additionally, this role monitors and reports compliance to the Global Procurement Policy. The role is responsible to follow and execute the Sourcing Intake Triage procedures to ensure Operational Level Agreement targets are met. Work is performed in accordance with the Scotiabank values and guiding principles, and in adherence to the Scotiabank Code of Conduct.

Is this role right for you? In this role you, will:

  • Reviews and triages goods/services intakes directing requestors to the correct sourcing channel. This will include the following:
    • Applies knowledge of procurement policy, strategic sourcing procedures, and general business practices to assist in the triage of goods and services intake requests.
    • Interacts with requestors and Sourcing Managers to review and clarify intake requests.
    • Provide updates and make the follow up as needed.
    • Challenges requestors to direct low value and low risk intake requests to existing suppliers.
    • Advises requestors to ensure mandatory requirements highlighted in the Self-Service Sourcing Guide are followed when the intake requests do not require Global Procurement Services assistance.
    • Contributes to and executes the framework for Procurement Policy non-compliance and subsequent action plans

  • Delivers support and assistance daily to contract owners globally, to enable them to navigate the source-to-contract process. This will include the following on a daily basis:
    • Responds to/solve enquiries and information requests (a.k.a. tickets, support issues). interacting with requestors via multiple channels.
    • Logs and tracks support issues/tickets.
    • Re-assigns requests to other groups as needed.

  • Reviews and triages contract requests/intakes to the correct next step for completion in the Bank's Contract Management system. This will include the following:
    • Reviews contract requests to ensure their correct set-up in the system (e.g. contract type, parent/child relationships; etc.).
    • Interacts with Contract Owners as needed, to clarify status and/or request corrections.
    • Performs triage to the next step (e.g., assignment to Sourcing, instruction to engage Legal etc.), actioning the record to advance the contracting workflow.

  • Operates the Bank's procurement technology solutions for:
    • Consulting existing supplier/contract records, updating intake requests and status to ensure accuracy of the analysis dashboard.
    • Designs, populates, maintains, and improves the intake requests Master Database.
    • Prepares, updates, follows Standard Operating Procedures documentation to ensure data quality and consistent delivery of service according to established Operating Level Agreements (OLAs).
    • Prepares and distributes reports from the systems.
    • Escalates issues to Manager, and/or Senior Manager, and tracks to resolution.

  • Champions a customer focused culture to deepen client relationships and leverage broader Bank relationships, systems, and knowledge.
  • Understands how the Bank's risk appetite and risk culture should be considered in day-to-day activities and decisions.
  • Actively pursues effective and efficient operations of his/her respective areas in accordance with Scotiabank's Values, its Code of Conduct, and the Global Sales Principles, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational, compliance, AML/ATF/sanctions and conduct risk.

Do you have the skills that will enable you to succeed in this role? - We'd love to work with you if you have:

  • College Diploma or University Degree in related field.
  • 3+ years of project management, business administration, business analysis, data analysis, business process improvement, and/or business help desk, operations experience.
  • Excellent communication skills, both verbal and written, in English. Spanish would be an asset.
  • Highly proficient with Microsoft Office (Word, PowerPoint) and Excel (able to write formulas, effectively use lookup & references functions, logical functions and text functions at a minimum).
  • Detail orientated, strong analytical skills, and data collection and manipulation experience.
  • Excellent written, oral and presentation skills and an ability to synthesize information and make clear, concise recommendations.
  • High level of self-motivation and initiative, and ability to operate effectively as a team player.
  • Strong customer service skills when dealing with internal and external stakeholders.
  • Experience with Coupa, Icertis, ServiceNow or other procurement and service software is desirable.
  • Experience with cleaning, transforming, and visualizing large data sets working with various data formats.
  • Experience with data visualization tools and dashboard creations (Power BI or Tableau) is desirable.
