Position: Specialist, Business Operations
Reports to: Manager, Experiential Marketing Operations

Job Purpose:
The Specialist, Business Operations acts as the subject matter expert for the Experiential Marketing team, ensuring that all Experiential Marketing Business Operations are effectively managed and executed against the business objectives of key channels. They serve as the business unit representative in the management of vendor and partner onboarding, the execution of XM contracts and legal agreements, statements of work, purchase orders, invoices and payments, all in partnership with internal procurement and finance business partners. The Business Operations Specialist also works in close collaboration with the responsible stakeholders to ensure that all agreements, processes, and associated activity is executed according to industry standards, and all SLAs are met or exceeded.
The Business Operations Specialist manages and maintains agreements related to all Experiential Marketing activities, ensuring all contracts and statements of work are accurately prepared, reviewed, and executed to the satisfaction of our artists, partners, vendors, and internal teams in a manner that allows us to achieve business objectives and ultimately shared organizational goals.
The Business Operations Specialist is the person most responsible for the day-to-day project administration associated with our external partners, demonstrating excellent communication and relationship management skills. They also work collaboratively across the Experiential Marketing team along with internal teams and stakeholders, building relationships to support the execution of all Experiential Marketing team contract and procurement activities as well as associated operations.
Responsibilities:
  • Manage the cohesive collaboration between Experiential Marketing partners and vendors with internal process and administration teams, ensuring a seamless and delightful experience for our partners while supporting them through administrative procedures.
  • Educate partners and vendors on WVC business needs and operations while providing a consistent experience with WVC messaging, products and brand-guided relationship management, ensuring excellence in delivery and adherence to WVC strategy and policies.
  • Work with Experiential Marketing team partners, stakeholders, and internal legal and procurement teams to execute the full contract management life cycle, developing, drafting, reviewing and executing contract documents, including MSA’s, partnership agreements, production agreements, statements of work, releases, talent contracts and licensing.
  • Process 3rd party vendor and partner contracts and statements of work, ensuring reviews, approvals and execution per procurement and legal processes and requirements.
  • Facilitate onboarding of new vendors and partners through the full onboarding cycle, ensuring the completion of due diligence, cost comparisons, selection criteria, vendor profile creation and procurement system requirements efficiently and effectively.
  • Manage the creation of Purchase Orders and ensure all vendor and partner invoices are processed and paid according to agreed-upon terms.
  • Monitor and maintain contract templates and processes in alignment with industry standards and best practices through collaboration with Experiential Marketing team stakeholders and internal legal and procurement teams.
  • Maintain a centralized tracking system for all Experiential Marketing team partner and vendor contracts, ensuring all contracts are monitored and renewed according to term requirements and communicating contract status and updates to relevant stakeholders.
  • Lead fiscal year-end processing for all Experiential Marketing team purchase orders and contracts.
  • Evaluate the needs of external and internal stakeholders and incorporate them into the Experiential Marketing team’s contractual and procurement processes, with the goal of improving the team’s operational management systems, processes and best practices.
  • Assist the Manager, Experiential Marketing Operations with the development of team operational policies & procedures to support effective execution across the team, identifying trends and assessing opportunities for increased operational efficiencies.
  • Assist the Manager, Experiential Marketing Operations with the development and implementation of operational and tactical plans to ensure the operational objectives within the Experiential Marketing Team’s strategic goals are met and exceeded.
  • Operate within an agile scrum framework to manage tasks and deliverables.
Desired Experience & Qualifications:
  • Post-secondary education with 5+ years’ experience in Business Management or Operations, Entertainment/Event Management, or Operations Management.
  • Highly experienced in procurement processes and contract management and negotiations.
  • Highly interpersonal experience building and enhancing partner relationships.
  • Proven experience managing contracts and knowledge of contract law and the entertainment industry is an advantage.
  • Customer-service orientation, bringing best-in-class support to team & WVC partners.
  • Demonstrated ability in project management.
  • Excellent written and verbal communication skills.
  • Proven ability to analyze and understand contract terms.
  • Entertainment industry knowledge of pricing and fee structures, payment terms, standard production terms and production risks/insurance knowledge.
  • Ability to work independently and collaboratively in a fast-paced environment while meeting tight deadlines and managing multiple priorities in parallel.
  • Strong attention to detail and demonstrated organizational, problem solving, collaboration and communication skills.
  • Experience working in an Agile environment with Agile principles and practices considered an asset.
