Job Responsibilities:
- Order Entry & Invoicing
- Responding to and confirming next steps for inquiries from leaders in the organization
- Maintaining executive’s MS Outlook calendar as well as monitoring, distributing and responding to incoming communications
- Coordinating/booking travel
- Preparing expense reports
- Coordinating and arranging meetings; preparing agendas and reserving/prepping meeting facilities
- Conducting research, collecting and analyzing data to assist in the preparation of reports and documents
- Proactively look for ways to increase efficiency and provide support to the executive team and local office
- Filing and retrieving documents and reference materials
- Providing superior customer service when interacting with external clients
- Coordinating and monitoring the progress of special projects
- Occasionally assisting Administrative Assistants with the formatting of GHD Word Documents and PowerPoint presentations.
Qualifications:
- High School Diploma required.
- Minimum of 1 year of administrative support experience in a professional office environment with a focus on supporting an executive team and/or leaders in the company
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) as well as Adobe PDF Writer
- Professional attitude and positive work ethic
- Ability to work with little supervision and achieve superior results
- Strong attention to detail and accuracy
- Ability to handle difficult situations and work well with multiple instructions and directions
- Excellent organizational skills with ability to multi-task and prioritize to meet short deadlines
- Self-motivated and willingness to work as a team in a fast-paced environment
- Strong written and verbal communication required
