Job Overview:
The Administrative Clerk is the first point of contact for SARA for Women Society and plays a key role in the day-to-day operations. This position supports management, administration and program staff.
Responsibilities and Duties:
- Coordinate internal and external meetings as assigned, including agenda and meeting material development and distribution, record keeping and event logistics
- As required, set-up/bookings and administrative tasks associated with all meetings/events
- Provide customer service to SARA clients, partners, advisors and stakeholders, through written and verbal communications.
- Contribute to the input, collection and management of SARA program data
- Provide reception duties, front desk & assistance for clients and walk in guests
- Mail (distribution, postage, couriers and mail outs)
- Monitor, order and distribute office supplies
- Assists with monitoring, ordering and overseeing maintenance and repairs for office building
- Performs administrative tasks associated with all meetings and events
- Data entry
- Ensures security of the office
- Oversees and provides training on maintenance and use of photocopier
- General filing, minute taking upon request
- Assists with orientation of new staff
- Assists with the printing/assembling of communication materials/presentations packages
- Assists with the printing/assembling of communication materials/presentations packages
- Assists with fundraising/mailing campaigns as directed
- Attends Staff Development and all other requested meetings of the organization
- Receives input from designated staff and prepares and files reports as requested Work Environment
- All other administrative support needed by Management, Administration & Programs
Qualifications:
Education and Knowledge
- Grade 12, plus completion of a program of up to one (1) year in business or office administration training.
Training and Experience
- Three (3) years recent related experience or an equivalent combination of education, training and experience
- Basic experience with MS Office software and relationship management software
- Experience with fundraising software/database programs
