Resilient Health is a psychology clinic providing assessment, diagnosis and psychotherapy to clients in Victoria BC and across British Columbia. Our team, which includes psychologists, counsellors, and social workers, is very friendly, collaborative, and dynamic.
Role overview:
We are seeking a reliable and client-focused individual to join our team as an Administrator. This position offers part-time/casual hours, with both remote and in-person responsibilities, providing flexibility and diversity in your work environment.
The ideal candidate will possess excellent organizational skills, attention to detail, outstanding communication skills by phone and email, and a passion for delivering exceptional client care. As an Administrator, you will be responsible for overseeing daily administrative tasks, including coordinating schedules, managing client records, billings and payment processing, and supporting our mental health professionals. We are looking for someone eager to grow with our clinic, contribute to our success, and make a positive impact on the lives of our clients.
Responsibilities:
- Answer incoming phone calls professionally and courteously, addressing client inquiries and scheduling appointments. Make outgoing phone calls, to follow up on bookings, billing and other client-related issues.
- Respond promptly to new client inquiries via phone or email, providing information about clinic services, procedures, and appointment availability.
- Manage new referrals and coordinate appointments with healthcare providers.
- Process daily billing tasks, including charging credit cards and following up on outstanding payments (including email and phoning clients), to ensure timely and accurate financial transactions.
- Perform general clerical duties such as filing, faxing, copying, and data entry to support clinic operations and maintain organized records.
- Collaborate with other staff members to ensure efficient workflow and exceptional customer service.
- Maintain confidentiality of client information and adhere to privacy regulations, including HIPAA guidelines.
Qualifications:
- High school diploma or equivalent; additional education in administration is a valuable asset.
- Previous experience in a customer service or administrative role.
- Experience in a mental health or healthcare setting is an asset, but not required.
- Excellent communication skills, both verbal and written, with the ability to interact professionally and kindly with clients and colleagues.
- Strong organizational skills and attention to detail, with the ability to prioritize tasks effectively in a fast-paced environment.
- Proficiency in computer skills and familiarity with office software applications.
- Ability to work independently as well as part of a team, demonstrating reliability and accountability in all responsibilities.
