About the Role
Your Responsibilities
• Engage and assist with new and existing customer acceptance process and day to day administration.
• Submit and follow up with all NDA’s, RFQ’s and corresponding quote data to global subcontractors.
• Prepare and maintain all internal job Pricing Analysis Sheets and Engineering Change Activity Sheets.
• Open and close all job numbers and DCN’s in internal Visual System.
• Manage and maintain internal Visual Systems database relevant to Sales Department activities.
• Intake and follow up of base contract purchase orders and engineering change purchase orders.
• Maintain monthly “Invoice Forecast Sheet” and prepare customer invoicing documents as required.
• Organize, schedule, and facilitate all internal New Business “Project Kick Off” meetings with Program Managers.
• Liaise with Project managers regarding invoicing and contract updates from time to time.
• Maintain current and historical quotations, contracts, and sourcing value database.
• Submitting invoices at quoted schedules and follow up with customers on outstanding invoices.
• Prepare month end Revenue Recognition spreadsheet including reconciliations to G/L for all operations.
• Perform Monthly Cost Analysis by program milestone.
• Preform Monthly Billing analysis.
• Prepare annual capital budgets for all operations.
• Maintain divisional capital database for all operations.
• Assist in monthly, quarterly and yearly reforecast for all Business Units.
• Prepare monthly risk and opportunities schedules and variance analysis reports for Cosma reporting.
• Prepare quarterly fixed assets continuity and other schedules for Cosma reporting.
• Perform additional financial analysis and reports as required.
• Prepare presentations, documents and spreadsheets for both internal and external purposes.
• Miscellaneous general administrative or other reasonable duties as required.
• Responsible for applicable QEMS policies, procedures and work instructions.
• Responsible to adhere to policies and practices for Environmental, Health and Safety in accordance with Magna policy.
Who we are looking for
• Strong interpersonal, organizational, analytical and mathematical skills.
• Highly proficient in Microsoft Office Suite applications. Advanced Microsoft Excel abilities.
• Excellent command of written and oral communication skills in English.
• ISO 9001 & ISO 14001 training as prescribed by QEMS
• Demonstrated ability to handle and prioritize multiple tasks and deal with confidential information
• Strong Attention to detail
• Ability to work independently, anticipate work needs and follow through with minimum direction.
• Business Administration Certificate or relevant educational certificate is a must.
• 2 - 3 Years Post Certificate experience in a Business Administrative capacity; experience in automotive would be an asset.
