Detailed Overview: Performs a variety of clerical, secretarial and receptionist duties in support of Respiratory Services such as scheduling and booking patient appointments and follow up visits, preparing and processing medical billings for outpatient services, typing various documents and correspondence, and receiving and providing information to patients. Responsibilities:
- Schedules and books patient appointments by receiving appointment requests and/or patient referrals; makes follow up appointments, adjusting arrangements as per patient and department requirements and assigning appropriate time and date; contacts patient, physician office and/or nursing unit to confirm appointment. Maintains patient waitlists and patient appointment calendar and prepares and distributes daily schedule to clinic staff.
- Performs receptionist duties such as answering the telephone, responding to routine inquiries, taking and/or relaying messages, greeting and directing visitors/patients to the appropriate area, informing clinic staff of patient arrival, and processing incoming and outgoing mail, faxes, and packages/shipments.
- Prepares and processes medical billings for outpatient services. Receives records and accounts for a variety of payments for patient direct billings and/or submits charges to Finance in accordance with established policies and procedures.
- Types technical and non-technical documents such as medical reports and related correspondence; takes minutes, produces graphs and reports using applicable software.
- Composes and signs correspondence such as confirmation of appointments and forms letters, as directed; drafts correspondence for review and signature.
- Assembles and updates department procedure manuals, forms, and graphs; sets up and maintains filing system including patient charts, patient care resource material and forms, correspondence, equipment and supply records; inputs patient information into relevant charts and systems.
- Compiles statistics for a variety of department activities.
- Maintains office supplies, equipment inventories; prepares requisitions for signature as required.
- Operates office equipment such as photocopiers, scanners and fax machines, carries out maintenance such as loading paper, removing paper jams, cleaning glass, changing toner cartridges. Calls for service if further maintenance is required.
- Performs other duties as assigned.
Grade 12, two years recent related experience or an equivalent combination of education, training, and experience.
Skills and Abilities
- Ability to keyboard at 45 wpm.
- Knowledge of medical terminology
