Job Summary
We are currently seeking a dynamic individual to join our Maintenance Admin Team in the Transit Maintenance Section of the Transportation & Works Department, Transit Division. The primary responsibility of the Maintenance Contract Admin-Payroll will be to support payroll and administrative functions within a unionized automotive environment.
Duties and Responsibilities
- Under the training of the Supervisor and payroll staff, the successful candidate will:
- Perform payroll or back up duties – check daily staff punch on and off Hastus system. If missing punch info, investigate reasons and update Hastus with proper notes.
- Able to check staff absence and vacation status. Review and process time off requests, keep proper documentation, distribute approved requests to employees in a timely manner.
- Prepare, post and award weekly overtime requests for Central Parkway and Malton two locations. Be able to post, award and update annual master sign ups for work location, vacation, stats holidays and regular sign ups between any immediate two stats. Update seniority list.
- Keep confidential of employee info include health & safety status.
- Review, code and post commercial invoices in EAM system and reconcile invoices with monthly account statement.
- Key in sublet repair information into shared spreadsheet for warranty check, report and tracking purpose.
- Participate in cross-functional training to enhance Maintenance’s ability to ensure efficient operations and include other administrative functions such as fuel ticket processing or insurance certificate follow up;
- Possess a demonstrated ability to contribute to a constructive work environment through a can-do attitude, positive communications, professionalism, and the ability to contribute to a team to deliver safe, reliable buses;
- Perform other related duties as assigned.
Skills and Qualifications
- Secondary school graduate with payroll training/diploma an asset;
- Minimum two years payroll or clerical related experience preferably in automotive industry with union environment;
- Knowledge of progressive office procedures, practices and policies including knowledge of health and safety regulations, Standard Labor Act in Ontario and Collective Bargaining Agreement (CBA);
- Ability to communicate with union staff, union steward and supervisors on a daily basis to clarify and resolve issues.
- Strong computer skills required that include a proven ability to learn and become skilled with Hastus Payroll System and Enterprise Asset Management System (EAM), in addition to intermediate to advanced Word and Excel capabilities with minimum typing speed of 45wpm;
- Organizational and analytical skills to extract reports from Hastus, check exceptions, organize data and present to management;
- Able to work in a fast paced office environment with a strong team atmosphere that is required cross-functional training for staff backup or accelerating projects;
- Detail oriented with positive attitude to solve problems; Working knowledge of financial management system or software such as SAP and/or Concur payment automation system is an asset.
Hourly Rate/Salary: $27.90 - $37.20
