Job Function:

Accountable for performing data processing services for employees and pensioners including inputting, updating, and maintaining various computer systems. Ensure processing activities are in accordance with data processing procedures, collective agreements, HR policies, and internal controls to ensure accuracy, integrity, and confidentiality of data. Strong data validations and auditing procedures are paramount to all processing activities to avoid negative impacts to HR processes reliant on accurate data. Responsible for maintaining and producing reports and distributing information as needed and to working collaboratively within the team.

 

Job Description:

Workflow Management:

  • Receives master data change requests via HR system workflows (SAP, ServiceNow), forms (e-form & paper) and/or task assignments from other HR functions.
  • Applies prioritization procedures to assigned activities in accordance with defined service level agreements (SLAs) to ensure timeliness for other HR processes.
  • Escalate more complex issues and inquiries to Team Lead, Supervisor or Tier 2 as needed.
  • Support the Team Lead and/or Supervisor in data collection or clarification regarding various forms and procedures to support time & attendance complex inquiries and investigations.

 

Transaction Processing:

  • Complete data changes in various HR systems in accordance with data processing procedures, collective agreements, HR policies, and internal controls to employees and pensioners.
  • Input data related to employee changes including but not limited to, hires, promotions, salary changes, terminations, retirements, leave of absences, etc.
  • Support employee and pensioner life event changes including but not limited to, benefits enrolment/modifications, address changes, direct deposit details, emergency contacts, beneficiary changes, etc.
  • Process mass data updates by following established processes and controls related to mass data updates in HR systems.

 

Audit & Compliance:

  • Perform peer reviews on data entry activities to ensure accuracy of data entry to avoid any negative impacts on HR processes reliant on accurate data. Ensure all required information, forms, supporting documentation and approvals are provided.
  • Perform and participate in audits related to ensuring data entry activities are in accordance defined HR controls.
  • Collaborate with HR teams to troubleshoot and resolve any anomalies identified through auditing activities.
  • Create and distribute various reports.

 

System & Process Enhancements:

  • Perform testing activities related to HR process and/or system changes as they relate to the processes under accountability of the master data team.

 

Administrative Support:

  • Perform various clerical services including the preparation of word processing assignments and reports as requested by Team Leads, Supervisor and/or Manager.
  • Inform Team Lead and/or Supervisor on necessary updates to records and files such as processes, training materials and others. File, retrieve and distribute above documents as necessary.
  • Receive and distribute mail and faxes. File and retrieve documents, as requested. Order, replenish and maintain office supplies.
  • Other duties as assigned.

 

Selection Criteria:

Education:

  • Requires a knowledge of office administration, and basic arithmetic, to perform calculations and adjustments.
  • Requires a knowledge of records management and technical documents.
  • Requires a knowledge of English to compose routine correspondence, reports and communicate effectively with others.
  • Requires proficiency in typing/keyboarding including inputting, updating and maintaining various computer systems. This knowledge is considered to be normally acquired either through the successful completion of Grade XII in a Secondary, Commercial or Technical School or by having the equivalent level of education.

 

Experience:

  • Requires experience associated with business processes to understand the various collective agreements, organization, interrelationship of field department and information sources, to be able to thoroughly investigate information deficiencies.
  • Requires experience to be familiar with clerical and administrative processes.
  • Requires experience relevant to the function to be familiar with associated terminology, equipment and materials, to understand the nature of the work performed and contacts involved, to understand applicable policies, practices and procedures.
  • Requires experience in the use of computer hardware and software information systems to produce various reports.
  • A period of upto three years is considered necessary to gain this experience.
