Position Overview:
We are seeking a highly motivated, experienced and detail-oriented Executive Assistant to support our Chief Technology Officer (CTO) and Co-founder. Our company, a dynamic Software as a Service (SaaS) organization in the late startup phase, is at a pivotal point of growth. The Executive Assistant will play a crucial role in optimizing our CTO’s efficiency, enabling them to focus on strategic decisions and innovation. This position is ideal for a proactive problem-solver with exceptional project management skills who thrives in a fast-paced environment.
Key Responsibilities:
- Email Management: Take full ownership of the CTO’s inbox, including sorting, prioritizing, and responding to emails as appropriate. Ensure that critical communications are flagged and addressed promptly.
- Calendar Management: Manage the CTO’s calendar with precision, coordinating meetings, appointments, and travel arrangements. Ensure that scheduling conflicts are resolved efficiently and that the CTO’s time is optimized for strategic work. CTO is involved heavily in the sales process, so sales follow up coordinate and being responsive to customers is key.
- Project Management: Oversee and contribute to projects from inception to completion. Assist in resource allocation, deadline setting, and progress tracking to ensure timely and successful delivery.
- Problem Solving: Proactively identify potential issues or bottlenecks that could impact the CTO’s effectiveness or the team’s performance. Develop and implement solutions to address these challenges.
- Communication: Serve as a liaison between the CTO and other departments, external partners, and stakeholders. Ensure clear and effective communication across all levels of the organization.
- Documentation and Reporting: Assist with the preparation of reports, presentations, and documentation. Ensure that all materials are accurate, up-to-date, and ready for executive review.
- Strategic Support: Act as a thought partner to the CTO, offering insights and suggestions to streamline operations and foster innovation within the company.
Qualifications:
- Minimum of 5 years of experience in an executive support role, preferably within a technology or startup environment.
- Exceptional organizational skills and attention to detail.
- Strong problem-solving skills and the ability to manage complex projects.
- Excellent communication and interpersonal skills, with the ability to interact with individuals at all levels of the organization.
- High level of proficiency in office productivity tools (e.g., Microsoft Office, Google Suite) and the ability to learn new software quickly.
- Ability to work independently, prioritize tasks, and handle multiple deadlines in a fast-paced environment.
- Discretion and confidentiality in handling sensitive company information.
