We are looking for an Executive Assistant to join our team in our Winnipeg office!

As an Executive Assistant, you will be responsible for supporting the managing partner and other key executives by providing full administrative support in a fast-paced environment.

Please note this is a fully in-office position, located at 444 St. Mary Avenue, Suite 110, Winnipeg, Manitoba R3C 3T1.

Your day as an Executive Assistant

  • Maintain calendars for managing partners, ensuring time is utilized in an efficient and work-smart manner.
  • Travel requests-booking accommodations, liaison with the travel agency, tracking spend on air travel for report to Montreal
  • Coordinate ground transport for Managing partner when traveling to meetings
  • Collaborate with other EAs across different regions in the country.
  • Schedule meetings & lunches/dinners with customers/clients and prospects including insurers
  • Reconciling monthly credit card receipts and expenses
  • Meeting minutes for management and other meetings
  • Expense reporting as needed and preparing cheque requisitions for invoices as needed
  • Create and distribute reports to VPs (AR and Sales Funnels).
  • Review and reconcile invoices-flag/follow up on questionable items;
  • Assist the Managing Partner with ad hoc projects.
  • Organizing in-house events for staff celebrations and managing the Holiday Calendar.
  • Management of outstanding receivables.
  • Leave management for all office employees (Paid time off and others).
  • Preparation and organization of presentations as per BFL Canada's standards and branding.
  • Backup for the reception and onboarding of new employees.

Our ideal candidate

  • 5 years of experience in a fast-paced environment in an Executive support capacity.
  • Computer savvy, with excellent knowledge of Microsoft Office Suite, including Excel and PowerPoint.
  • Strong verbal and written communication skills.
  • Ability to work well independently and with others throughout the organization.
  • Proactive and eager to find efficiencies to improve and streamline processes.
  • Excellent organizational and time management skills
  • Detail oriented
  • Good knowledge of the insurance brokerage industry, an asset
  • Please note this is an onsite position.
