Job description

Adams Lake Indian Band is seeking one full-time Executive Assistant to Chief & Council to work under the direction of the Adams Lake Band’s Chief Executive Officer or designate. The individual’s main responsibility will be to manage schedules and calendars, meetings, and travel. The Executive Assistant will act as an extension of the C&C emails and general communication by prioritizing responses. The successful EA will have prior experience supporting senior executives, be an expert communicator and organizer, and be able to work at a high level of professionalism.

DUTIES INCLUDE:

  • Calendar and schedule management for Chief and Council or executive level meetings.
  • Prioritizes communication, emails, and messages.
  • Prepare budgets, reconcile, and track related income/expenses.
  • General applications for events.
  • Preparation of meeting agendas, taking meeting minutes and meeting minute distribution.
  • Presentation preparation.
  • Setting up meeting events, including venue organization, scheduling and support services.
  • Proofreading communications and reports.
  • General administrative duties as required.
  • Perform other related duties as assigned.

REQUIRED QUALIFICATIONS, SKILLS AND ABILITIES:

  • Post secondary degree or Diploma in Business Administration or similar field.
  • 5+ years of experience in an Executive Assistant role, supporting VP level or above is desirable.
  • Proven success in prior comparable role.
  • Proven ability to prioritize tasks and meet deadlines.
  • Must be able to work in a team, and independently.
  • The ability to anticipate needs and requirements.
  • Excellent communication skills.
  • Intermediate Microsoft Office skills.
  • Attention to detail.
  • Must be able to manage confidential information.
  • Flexible to attend events if required.
  • Excellent customer service mindset and the ability to deliver to a high standard of competence.
  • Excellent presentation skills.
  • The ability to work well under pressure and a proven ability to prioritize, manage and meet conflicting deadlines.

OCCUPATIONAL REQUIREMENTS (REQUIRED DOCUMENTS)

Acceptable Criminal Records Check

Class 5 Drivers License

TERMS OF EMPLOYMENT:

Full time permanent position

Wage will be decided based on education and experience varying from $24.00 - $27.50 per hour.

Upon completion of probation ALIB offers comprehensive Benefits and a Pension Plan.

Hours per week: 75 hours biweekly (max 37.5 hrs./week), with flexibility in hours/days of work.
