Your Opportunity and Responsibilities

The Fleet Maintenance Administrator is responsible for supporting maintenance facility supervisors and technicians with creating service orders, service planning, document management and tracking, compliance, and maintaining filing systems. Direct communication and ongoing collaboration with the Maintenance and Field Services Operations teams is required.

In alignment with the Lifting Solutions culture, mission, vision and values, other responsibilities include, but are not limited to:

Technical Requirements

  • Maintaining, and validating compliance and maintenance tracking spreadsheets and reports
  • Reviewing, establishing, and implementing fleet management policies and processes
  • Formatting company documentation using branding standards and maintaining forms and templates.
  • Ensuring maintenance technician timesheets are accurate and submitted on time
  • Managing our internal vehicle monitoring system (vehicle GPS system)
  • Being the system administrator for our online Fleet Maintenance software
  • Creating service orders for internal repair and maintenance of equipment using Microsoft NAV (ERP)
  • Validating, monitoring, and managing vehicle fuel for accuracy and inventory management
  • Performing periodic audits on equipment to ensure they meet Lifting Solutions standards and Fleet Maintenance program requirements.
  • Safety meeting presentation preparation and recording of minutes.
  • Manage asset status change process.

Employee Requirements

  • Complying, verifying, recording, and processing fleet and maintenance documentation, ensuring all completed mandatory paperwork is thorough, accurate, and submitted on time
  • Maintaining the filing system for Fleet Maintenance documents, repair invoices, and work orders
  • Maintaining organized inventory management of Fleet Maintenance to ensure accuracy and compliance
  • Maintaining immaculate housekeeping within your work environment
  • Other duties as required

Your Qualifications and Experience

  • Completion of a post-secondary program focused on general business or office administration, or a minimum of 2 years’ relevant work experience.
  • Proficient in Microsoft Office including Excel, Word, PowerPoint, Outlook, OneDrive

Job Types: Full-time, Temporary
Contract length: 18 months

Schedule:

  • 8 hour shift
  • Monday to Friday

Education:

  • Secondary School (preferred)

Experience:

  • Oil & Gas: 1 year (preferred)
  • Microsoft Office: 3 years (required)
  • ERP systems: 1 year (required)
