SUMMARY:
Under the supervision of the Human Resources Manager, the incumbent will perform a variety of personnel-related tasks. The HR Executive Assistant will support the HR Manager and department in duties including recruitment, processes, updating and maintaining the organization HR database, processing employees’ requests and day-to-day administrative tasks within the department. This position requires excellent organizational skills and the ability to handle sensitive information.
MAJOR RESPONSIBILITIES:
- Provide administrative support.
- Maintain employee records.
- Update HR databases (e.g. new hires, separations, vacation and sick leaves).
- Prepare paperwork for HR policies and procedures.
- Process employees’ requests and provide relevant information.
- Collaborate with recruiter databases to post job ads on careers pages.
- Prepare reports and presentations for internal communications.
- Assist in providing orientations for new employees by sharing onboarding packages and explaining company policies.
- Filing (updating, maintaining, scanning/photocopying documents, and archiving Human Resources files).
- Data-entry.
- Request missing pertinent information from employees to up-date their personnel file.
- Assist in coordinating, managing, and overseeing day-to-day activities.
- Handle all photocopy and fax requests from the Human Resource Manager as per level of urgency and destination.
- Research and prepare updates for various projects and subjects as required.
- Prepare agendas and schedule presentations for meetings.
- Coordinate and act as recording secretary at various meetings.
- Transcribe, review, edit, and ensure the distribution of meeting minutes to the appropriate parties within established timeframes.
- Assist in pension and benefit enrollment.
EDUCATION AND EXPERIENCE REQUIREMENTS:
- College Diploma in HRM and/or Executive Services, or Office Administration/Management.
- 2 years of relevant HR experience preferred.
KNOWLEDGE AND SKILL REQUIREMENTS
- Knowledge of Timiskaming First Nation (TFN) services, executive and operational policies and procedures.
- Knowledge of all Microsoft Office programs and internet.
- Proficiency in Excel software.
- Proficient verbal and written communication skills in English.
- Ability to speak and write in the French language is an asset.
- Organizational skills.
- Ability to show tact, discretion, and courtesy.
- Knowledge of standard office practices.
- Ability to use judgment and able to take initiative.
- Ability to represent TFN with a professional image.
- Ability to work in a fast-paced environment.
- Ability to work under pressure.
WORKING CONDITIONS:
- Monday to Thursday 8:00 am – 4:30 pm.
- Friday 8:00 am – 12:00 pm.
- Overtime may be required to meet deadlines and complete projects.
- Starting date: As soon as possible
