Description:
Working independently under the general direction of the Executive Director, Office of Safety & High Risk, the incumbent provides a high level of confidential administrative, office and case management support and coordination to the Office of Safety & High Risk.
The Manager is responsible for managing the Office and is expected to work with limited direction, executing a significant amount of judgment, tact, diplomacy, confidentiality and discretion in all aspects of the role. The incumbent acts as a central contact between the Executive Director and Office Directors and other senior administrators and faculty, both internal and external to the University, including senior leaders from the Office of the President, the Provost, and the Vice-President of PSEC and various contacts at external police agencies, health care institutions and government offices. The Manager handles multiple projects and tasks simultaneously in a highly confidential and credible manner.
More specifically, the incumbent’s responsibilities include: managing all aspects of the complex, and often urgent, calendar schedules of the Executive Director and Directors, exercising considerable judgement in releasing information to answer queries and resolving issues; screening all incoming correspondence; coordinating meetings and arrangements for standing committees and other special functions; responding to and/or processing items which do not require the direct attention of the Executive Director or Directors; preparing and editing a variety of frequently complex and confidential material; assisting with the development of business processes to ensure maximum efficiency of the Office, including financial record-keeping and processing; overseeing a hardcopy and electronic filing system. The incumbent serves as an essential case management support on various High Risk and investigative files, monitors critical components, prepares files for disclosure and ensures that follow-up items are flagged for the primary case manager.
The incumbent resolves issues and answers inquiries independently based on the understanding of the portfolio and priorities, ensuring the Executive Director and Directors are informed of pertinent issues through briefings on decisions, operational issues and reports. The incumbent must anticipate administrative requirements in order to be proactive and supportive of all activities. The incumbent works in a complex environment that requires a high degree of sensitivity, responsiveness, and a need to maintain absolute confidentiality.
The incumbent must have some knowledge of self-care practices in dealing with traumatic or sensitive material, and be able to use these skill when engaging with written material, stakeholder communication. The incumbent must be able to discern when issues are arising in their interactions with others, and initiate corrective action. The incumbent must present a professional image in the Office by interacting knowledgeably and courteously with the many stakeholders who come into contact with the Office ofHigh Risk. The incumbent must be a highly motivated and energetic individual who enjoys the challenge of working in a dynamic, confidential, fast paced environment.
Qualifications Required:
I. EDUCATION:
Bachelor’s degree or an equivalent combination of education and experience.
II. EXPERIENCE:
Six to eight (6-8) years of recent related experience in an executive level portfolio required, preferably within a post-secondary or government environment; Demonstrated communication, administrative, financial and project management experience in a dynamic office. Demonstrated trust in managing highly sensitive and confidential information. Experience working within an organization with exposure to difficult, sensitive and trauma laden events and materials required. Knowledge of University of Toronto structure strongly preferred.
III. SKILLS:
Strong planning and organizational skills; excellent communication skills both oral and written; strong editing skills; superior interpersonal skills; must have initiative; diplomacy and tact; ability to exercise judgment in prioritizing the work of the Executive Director and Directors, self and subordinates; able to maintain a high level of confidentiality, tact, and decisiveness while working under the pressure of constantly-changing priorities, unanticipated urgent demands, and multiple tasks and projects with competing deadlines; ability to supervise staff effectively.
Technically savvy with excellent Microsoft Office skills (Word, Excel and PowerPoint); Outlook, SharePoint; FIS; HRIS; Rosi. Ability to research, analyze and synthesise complex information and prepare documents within the parameters set out by the Directors.
IV. OTHER:
Superior oral and written communication, interpersonal, analytical, decision-making and organizational skills. Demonstrated ability to draft clear and concise correspondence. Strong customer-service orientation. Demonstrated verbal de-escalation skills. Demonstrated initiative, accuracy and meticulous attention to detail. Demonstrated judgment, tact, discretion and ability to handle complex matters of a sensitive and confidential nature. Ability to organize a heavy and fluctuating workload in a changing environment. Ability to work under pressure and to meet deadlines. Ability to assimilate and interpret significant amounts of information. Comfortable working in a fast paced, highly collaborative environment where there is a high consequence of error. Demonstrated ability to manage and regulate self-care and the ability to recognize the limits of one's own scope of practice.
Must participate in specialized training required by the OSHR related to policy, investigative processes, Violence Threat Risk Assessment, trauma informed practices, as well as incident management and crisis response/leadership.
THE CANDIATE MUST RECEIVE A TORONTO POLICE VULNERABLE SECTOR SCREENING CLEARANCE AS A CONDITION OF EMPLOYMENT.
