The Marketing Admin Coordinator will provide high-level administrative support to the Director of Marketing, Director of Revenue Management and Senior Director Corporate Strategy and Product Development and their teams by coordinating and managing budget reconciliation, managing meeting bookings, travel, projects, and other tasks as assigned. The ideal candidate is flexible, has financial acumen, superb problem solving, critical thinking skills and thrive in a fast-paced environment.


  • Provide administrative support with day to day activities.
  • Review email, identifying actions required and taking action where appropriate.
  • Maintain and coordinate calendar of appointments.
  • Processing invoices, expenses, reimbursements as well as ordering office supplies and making travel arrangements as well as itinerary management.
  • Maintain monthly budget tracking and work with Purolator’s financial management system Ariba
  • Set up and maintain various reports, running reports as well as report consolidation and preparation in various formats.
  • Meeting preparation including, agendas, room preparation, equipment, etc.
  • Reviewing presentations, proof reading and verifying 100% accurate.
  • Will maintain high level of professionalism in dealing with all internal and external customers.
  • Independently follow up on stakeholder action items identified during meetings
  • Manage documentation repositories as assigned i.e. MS SharePoint for major projects
  • Maintain relationships with major vendors and streamline administration with Purolator stakeholders
  • Other duties as required.


Qualifications

  • Exemplifies and consistently demonstrates our core competencies of customer focus, communicates effectively, collaborates, instills trust and self-development.
  • Post-secondary education or equivalent work experience
  • Minimum of 5 years in a similar role
  • Excellent knowledge of Microsoft Office Suite
  • Knowledge and experience with budgeting process
  • Prior SAP experience would be an asset
  • Ability to communicate effectively (written and verbal)
  • Excellent customer service skills
  • Ability to work with little supervision
  • Well-developed problem solving skills
  • Ability and disposition to take initiative
