Job Title:Office Administrator

Company: Koshani - Distributor of Area Rugs

Location: 315 Humberline Drive, Toronto, ON

Position Type: Full-Time, On Location

Schedule: Monday to Friday

Salary Range: $48,000 - $50,000 annually Job Description: As our Office Administrator, you will be responsible for managing various aspects of our office operations and providing crucial administrative support to our team. Your responsibilities include:

*Important* Please note that the job we're offering demands a strong command of Microsoft Excel. Success in this role is closely tied to Excel proficiency. If you're not comfortable with Excel, fulfilling the job requirements may prove challenging

Responsibilities:

  • Manage and coordinate day-to-day office operations and procedures to ensure a well-organized and efficient workspace.
  • Handle incoming calls, emails, and correspondence promptly and professionally.
  • Schedule shipments and pick-ups, ensuring timely and efficient transportation of products.
  • Process invoices from QuickBooks and send them to customers.
  • Handling & managing weekly, monthly POs, accurately recording in QuickBooks
  • Work closely with the warehouse manager to ensure stock level accuracy
  • Work closely with the warehouse team for processing of weekly orders
  • Prepare formulas on Excel to speed up the processing time and accurately process orders
  • Handle claims, returns, and shortages.
  • Manage disputes on excel
  • Communicate effectively with suppliers and vendors to ensure timely deliveries.
  • Process customer orders accurately and assist with order-related inquiries.
  • Assist in maintaining inventory levels and coordinating restocking efforts.
  • Greet and assist visitors in a courteous manner creating a positive first impression of our company.
  • Maintain filing systems and ensure the accuracy and accessibility of records.
  • Provide administrative support to the team as required, contributing to the overall success of the company.
  • Disputes with different customers to maintain customer satisfaction.
  • Provide excellent customer support by addressing inquiries and resolving issues.
  • Process customer orders accurately and assist with order-related inquiries.
  • Accurately enter and maintain customer information, orders, and data in databases.
  • Handle customer payments, refunds, and billing inquiries securely and efficiently.
  • Create and format documents, reports, and presentations for internal and external use.

Must Have:

  • Must be proficient in Microsoft excel.
  • Must have computer knowledge.
  • Must be dependable, detail-oriented, and self-motivated.
