Job Overview
This position reports to Office Manager/Payroll Specialist and has frequent contact with project superintendents/admins, safety, payroll, HR, Accounting, and other administrative staff; the Office Administrator (OA) plays a pivotal role in providing exceptional customer service and support to both the office and field operations, your responsibilities will be diverse and impactful.
Your day-to-day responsibilities will include but not limited to:
- Perform administrative tasks such as answering phone calls, responding to emails, and managing correspondence.
- Handle all incoming and outgoing mail/deliveries.
- Answer phone calls/take detailed messages for every call.
- Responding to internal and external inquiries in a timely manner.
- Preparing and distributing correspondence, reports, spreadsheets, and other documentation.
- Organizing and maintaining records and filing systems.
- Scheduling appointments, arranging travel, and maintaining calendars to support office and field operations.
- Establishing and maintaining office procedures.
- Ordering office supplies, forms, business cards.
- Providing support to other administrative related projects or duties as required.
- Misc. errands and internal tasks (scanning, faxing, filing, etc.).
- Schedule and conduct internal maintenance appointments (internet, plumber, electrician, etc.).
- Managing various service providers related but not limited to, utilities providers and other services related to the office managing.
- All internal troubleshooting.
- Provide administrative support to both West-Can Seal Coating Inc. and Western Asphalt Products.

Essential Requirements

- Basic understanding of differences and relations between suppliers, customers, business expenses, etc.

- Staying current with technical job skills.
- Technically efficient in all Microsoft Office applications as well proficient in Gmail and Google Workspace with the ability to learn new software programs easily.
Preferred Requirements
- Diploma or Certificate in Office Administration or Accounting is preferred.
- Previous experience in an office or administrative role in construction field is preferred.
Work Conditions
This is NOT a remote position, you will be primarily working in an office setting during regular business hours, Monday to Friday 8AM – 5PM. Overtime may occasionally be required. Ability to thrive in fast-paced environment with tight deadlines especially during “peak season” (May through October) is essential.
