We’re looking for an outgoing Office Administrator for maternity leave coverage to join our fun and upbeat team.
The ideal candidate will have the following qualifications:
- 1+ years in a similar role.
- Excellent English Skills – reading, writing, and speaking.
- Strong computer skills.
- Above-average skills in MS Outlook, MS Word and MS Excel and MS PowerPoint.
- Ability to create and format a variety of forms, documents, and newsletters.
- Comfortable engaging with and answering client and contractor questions in person and by phone.
- Strong interpersonal skills.
- Ability to work independently as well as within a team.
- Detail-oriented, with superior organizational skills and the ability to prioritize.
- Professional, reliable, and adherent to strict confidentiality of secure materials and information.
General Responsibilities and Duties
- Booking appointments.
- Scheduling and managing safety training courses.
- Processing payments
- Assisting Accountant with tasks like invoicing and posting payments.
- Booking travel and hotel accommodation.
- Implement and participate in online marketing activities.
- Managing the website and social media platforms.
- Drafting and responding to email and social media messages.
- Greeting and ushering clients/visitors into the waiting room.
- Answering and managing all incoming phones calls.
- Inventory management of office supplies and course materials.
- Office Inspections.
- Planning company events/team building.
- Assist other team members as needed.
- Other assigned tasks and responsibilities as required.
- Data entry.
- Monitoring safety compliance platforms
Job Type: Full-time Fixed Term MATERNITY LEAVE COVERAGE
In this important role, you’ll keep our office running efficiently by supporting team members throughout all levels of the company. We’ll trust you to lead projects independently, and to manage critical, confidential information as you work with legal and financial documents.
Your biggest assets in this role will be your excellent communication skills, a proactive attitude towards new challenges and your ability to build strong relationships with clients, contractors and staff. We You’ll quickly become known as someone to come to for support with any task–big or small.
