Summary
We are recruiting for a full time Office Administrator position in Calgary. Reporting to the Manager, Facilities and Office Services, this front-line role will provide a variety of services to support internal and external customers. Your positive ‘can-do’ work ethic, combined with strong communication and relationship building skills, will allow you to work effectively with your internal and external customers.
Role and Responsibilities
- Provide effective office services support to internal customers.
- Coordinate incoming and outgoing mail and courier deliveries and shipments.
- Provide coverage for main switchboard which includes answering, screening, and forwarding calls in a professional, timely and accurate manner.
- Professionally greet all incoming customers and guests, ensuring they have an appropriate contact and are signed in and out of the visitor management system.
- Assist with maintenance, monitoring and ordering of stationery and office-related supplies.
- Set-up and clean-up for large office events.
- Provide back-up for all Office Services positions, as required.
- Filing, data entry, scanning, invoice coding, and other office related duties.
Qualifications and Skills
- High School Diploma, at minimum
- Extensive and exceptional customer service experience in a fast-paced environment
- Previous office-related experience an asset
- Previous reception experience an asset
- Computer application knowledge (MS Word, Excel, Outlook)
- Exceptional interpersonal and teamwork skills
- Good prioritizing, multi-tasking and decision making skills
- High degree of discretion and confidentiality
- Entrepreneurial work ethic
