About the Position:
This position acts as the first point of contact at the BC SPCA Provincial Office for in-person guests, service-providers and members of the public. In addition, this position completes mail/courier functions and provides office administration functions as detailed below, all while providing exceptional customer service that can be through inbound, outbound calls and/or via email.
Some specific duties:
- Greets staff, volunteers, and guests at the Provincial Office in a friendly and professional manner.
- Direct guests to the appropriate department or contact in the office.
- Provides administrative support to Provincial Office departments by way of but not limited to:
- Distributing incoming faxes and courier packages to the appropriate area.
- Receiving and distributing incoming mail and process outgoing mail.
- Arranging for courier pickups.
- Maintaining postage meter to ensure sufficient funds and ink is available at all times.
- Ordering supplies including for business machines, general office supplies for provincial office, business cards and name tags.
- Scheduling maintenance and repairs for business machines.
- Coordinate office services ie/ the confidential shredding service.
- Contributes to keeping the reception manual up to date for back-up reception team.
- Receives Provincial Office maintenance and repair requests and passes along to Officer, Facilities Maintenance for review and action.
- Receives service providers when they attend Provincial Office and provides them with access to required areas.
- Responds accurately and concisely to enquiries to the general email address in a timely manner including:
- Provides information and referrals where applicable to the public pertaining to animal questions or concerns within their community.
- Directs members of the public to areas of the BC SPCA website that offer additional information relevant to the inquiry or question received or redirects emails to the appropriate staff member.
- Escalates email correspondence as required to Lead Animal Helpline and/or Manager, Animal Helpline Operations.
- Maintains a thorough understanding of the Society’s programs, policies and resources in order to provide members of the public with the most accurate and up-to-date information.
- Maintains a thorough understanding of the services provided by other animal agencies in BC and the accurate contact information for these agencies in order to refer members of the public appropriately as needed.
- Assists with other departments’ administrative duties as capacity allows.
- Performs other duties as assigned.
- Grade 12 Diploma, plus a minimum of 3-5 years’ related experience in customer service and administration. Related experience includes, but is not limited to:
- Delivery of direct customer service
- Administration
- Working in a non-profit setting
- Demonstrated ability to:
- Identify potential challenges and opportunities as well as bring forward solutions.
- Exceptional prioritization skills and ability to multi-task.
- Gather information: determining need, sourcing, analyzing, distilling and using it to inform decision making.
- Communicate clearly and respectfully at all levels with a diverse audience (both oral and written).
- Proficiency with Microsoft Office Suite, including strong Excel skills
- Professional demeanor, attire and presentation.
- Philosophical harmony with the mission, vision, and guiding principles of the BC SPCA.
