Duties
We are seeking an experienced Office Administrator to join our growing team. As an Office Administrator, you will be responsible for managing the day-to-day operations of our Mental Health and Wellness Practice and ensuring smooth and efficient workflow. Your duties will include:
- Overseeing contractor invoices for services and ensuring accurate and timely payment
- Providing guidance as needed to the centres Mental Health Practitioners
- Managing team schedules and room assignments
- Coordinate direct billing to insurance companies and co-pays
- Utilizing QuickBooks for financial record keeping and ocasssional reporting
- Manage/update the centres social media accounts and website as needed
- Handling general office tasks such as answer phones, data entry, and correspondence
- Communicating effectively with clients, contractors, and staff
Skills
To excel in this role, you should possess the following skills:
- Strong attention to detail and ability to maintain privacy and confidentiality of client information
- Experience in direct bill insurance companies is an asset
- Excellent organizational abilities
- Proficiency in QuickBooks or similar accounting software
- Knowledge of online electronic medical records systems (EMRs) such as Jane
- Familiarity with general office procedures and clerical tasks
- Effective communication skills, both written and verbal
