Title:
Office Administrator
Purpose of position:
The Office Administrator will support the InBC leadership team with administrative tasks and own the overall organization of InBC’s Vancouver office. The Office Administrator will play a critical role in ensuring efficiencies in our administrative processes supporting us to deliver on our mandate. We are looking for someone who is eager to learn, has strong organizational skills, and enjoys multi tasking, and is ready to hit the ground running.
Key Interactions:
Internally the Office Administrator will work closely with the CEO, the CFO, the Director of Finance and the Director of Operations, other members of the InBC executive team, as well as all Vancouver-based InBC employees.
Externally the Office Administrator may work with corporate suppliers as well as the general public who attend to the Vancouver office.
Key accountabilities:
Executive support - the Office Administrator will provide comprehensive administrative support to the CEO and other members of the leadership team, including:
- Supporting the Leadership Team with calendar management, including taking responsibility for accepting meeting requests, showing consideration for priorities and availability.
- Scheduling meetings, including group meetings for the team upon request.
- Facilitate the collaboration technology required for remote group meetings.
- Coordinating travel arrangements and travel expenses for the Leadership team and coordinating travel arrangements for InBC Employees.
- Provide support with events (office activities, events, meetings, conferences) logistics, including managing registrations for InBC Employee attendance at events.
- Support internal and external communications.
- Provide administrative support, including preparing documents, coordinating projects and managing special initiatives.
General administration:
- Support establishing and continually improving office procedures.
- Track and record employee vacations and leaves in InBC’s time and leave system.
- Support onboarding and offboarding of employees as required.
- Prepare and submit various human resource requests into the human resource system as required.
- Assist with corporate credit management and reconciliation.
- Support accounts payable process through invoice management and reconciliation.
- Assists in the preparation of financial documents, including expense reports, purchase order and travel authorizations.
- Own the organization of the office, supplies, files, and mailings in a paperless environment.
- Manage/organizing office events to support team engagement.
Office and facilities administration:
- Provide front office support including greeting visitors and guests.
- Serve as a point of contact with suppliers.
- Order office supplies as required; ensure office equipment is functioning as expected, supporting the overall efficiency of InBC team members.
- Ensure the office is tidy, organized and represents InBC’s standards of excellence.
- Manage day to day facility issues, working with the landlord as required.
Special projects
- As required by the Leadership Team
This position could include other duties as assigned, based on the needs of the organization.
Reports to:
Supports the Executive Team, with mentorship from the Director of Finance.
Location:
Vancouver – this is an in-person office position, with an option to work from home on Fridays (after a probationary period).
Qualifications:
- 5+ years’ experience in support roles in general administration or office administration.
- Experience supporting executives in an administrative capacity.
- Experience taking initiative to establish and improve office processes.
- Advanced skills in Microsoft Word and Excel and experience working with Microsoft Teams
- Experience in financial or investment industry an asset, but not required.
- Post-secondary diploma or certification in office administration, general administration, other relevant areas, or relevant experience.
