Job Overview:
We are seeking a highly organized and detail-oriented Office Administrator to join our team. As an Office Administrator, you will be responsible for managing the day-to-day administrative tasks of our office. This role requires good communication skills, strong organizational abilities, and the ability to handle multiple tasks simultaneously.
Key Responsibilities:
· Oversee front office operations, including managing phone calls,
responding to emails and providing a welcoming environment for clients.
· Email Payment reminders and requests.
· Coordinate and plan for office services, including equipment, supplies, forms, and other services.
· Coordinate scheduling for appointments and manage client appointments.
· Set and prioritize tasks, assign responsibilities to support staff, and ensure adherence to deadlines.
· Provide administrative support as required.
· Record and prepare minutes of meetings, seminars and conferences
· Determine and establish office procedures and routines
· Schedule and confirm appointments
· Answer telephone and relay telephone calls and messages
· Answer electronic enquiries
· Compile data, statistics and other information
· Order office supplies and maintain inventory
· Greet people and direct them to contacts or service areas
· Open and distribute regular and electronic incoming mail
Education:
College/CEGEP or equivalent experience
Experience:
1 year to less than 2 years
Experience and Specialization:
· Computer knowledge
· Knowledge of Elementary school Education teaching would be asset.
Requirements:
· Previous experience in office administration or customer service is preferred.
· Strong organizational and multitasking skills.
· Excellent communication and interpersonal skills.
· Experience using office software (Microsoft Office or Google Workspace, etc.).
· Attention to detail and accuracy in data entry.
· Ability to work in a fast-paced environment.
