Office Administration/Accounts Receivable,
Signet Monitoring & Analysis provides emission testing, vibration analysis services, and Reliability Engineering to help our customers achieve the most out of their equipment. Our machinery reliability services and emissions testing capabilities provide unbiased recommendations based on vibration measurements, performance analysis, and onsite Emissions testing using the expertise of our technicians. Located in Red Deer, Alberta, Signet’s team provides service across Western Canada and is growing to support the increased demands in the industries we serve.
We are recruiting an Office Administration/Accounts Receivable position for our Red Deer main office. Reporting to the Operations Manager, this front-line role will provide a variety of office support services. A positive entrepreneurial work ethic combined with the ability to deliver exceptional customer service will allow you to work effectively with internal and external customers and team members.
Role and Responsibilities
- Work within Fieldpoint software to determine billable labor, parts and expenses.
- Invoicing of customers and monitoring of Accounts Receivable within the SAGE accounting software.
- Work within Customers third party programs such as Cortex, Open Invoice, Ariba, Pandell and GEP Smart.
- Greet incoming customers and guests in a professional manner, ensuring they have an appropriate contact and are signed in / out of the building
- Reception back-up, which includes multiline switchboard operation, greeting and signing in customers and contractors, and managing multiple inboxes
- Assist with inventory, shipping and front desk receiving responsibilities
- Provide back-up for Facilities & Office Services positions when needed
- Filing, data entry and other office related duties as required
- Occasional special projects
Skills and Qualifications
- Minimum academic credentials: High School Diploma
- Previous office-related experience
- Experience with SAGE accounting software.
- Strong customer focus: positive, approachable and proactive
- Ability to communicate clearly and confidently, both written and verbally
- Exceptional interpersonal skills (manage relationships and build networks)
- Proven time-management, organizational, and decision-making skills
- Perceptive, observant, with a keen attention to detail
- High degree of professionalism, discretion, and confidentiality
- Computer application knowledge (MS Word, Excel, Outlook, SAP, SharePoint)
