We are a clinic that requires the help of a full time office administrator. The office administrator for our clinic will attend to our clients in a professional and friendly manner. He/she will perform administrative duties and support the management team. Salary will be based upon abilities and knowledge of the role. Benefits (dental, optical, etc.) will be available after probation period of 3 months. Must be fluent in reading/writing English. Ability to speak at least one other language is MANDATORY as clients have difficulty in speaking/understanding English.
Key areas of responsibility:
- Greet internal and external visitors in a professional, courteous, and welcoming manner.
- Register clients upon arrival; ensure clients records and files are accurate and current; enter clients information into database.
- Answer e-mails, phone calls and voice messages in a timely matter.
- Book appointments, manage traffic flow, and maintain schedules.
- Able to process payments and deposits.
- Ensure work area is clean and organized; keep working area looking professional and uncluttered
- Incoming and outgoing mail and courier management
- Management of maintenance and supplies for all office equipment including copiers, printers, and stock
- Able to manage work load independently during slow periods
- Receive and stock inventory
- Able to identify and prioritize concerns
Qualifications/Requirements:
- 2+ years of administrative experience
- 1+ years of sales and retail experience
- Minimum high school diploma or higher
- Post-Secondary education in Business Administration an asset
- Excellent customer service skills and proven experience
- Experience in the medical or insurance field an asset
- Experience in working in an office or clinic environment preferred
- Exceptional organizational and interpersonal abilities
- Intermediate expertise with MS Word, MS Excel, MS PowerPoint
- Ability maintain calm in a fast paced environment
- Ability to work independently with minimal direction
- Must be able to work 5 shifts from Mon-Sat (approx. 40hrs./week). Saturday shifts are MANDATORY.
