The Lindsay Agricultural Society (LAS) is a federally registered charity and governed by a volunteer Board of Directors. The LAS was established in 1854 and 2024 marks the Society’s 170th year as a pillar of the community. The LAS was established to improve agricultural knowledge within the community and create opportunities for dialogue between the agricultural community and the residents of the Kawartha Lakes. The mission of the LAS is: “To showcase the vibrant agricultural industry in the Kawartha Lakes while enriching the life of the community through the Lindsay Exhibition, events, entertainment, and volunteerism.” The grounds are owned by the Lindsay Agricultural Society and host over 40 events each year in addition to the Lindsay Exhibition, drawing over 100,000 visitors annually.
About the Job:
The Administrative Assistant will assist the Competitions Coordinator and Executive Director execute competitive and agricultural aspects of the 170th Lindsay Exhibition (LEX).
Tasks include:
- Collaborating with our small team and our 400+ volunteers to deliver a successful LEX
- Provide creative and innovative ideas at regular collaborative meetings with volunteers and staff on a wide range of topics, record any decisions, and communicate those decisions to both internal and external stakeholders
- Assisting with generation of documents including internal communications, formal letters, meeting minutes, and informational compilations available to the public
- Inputting, manipulating, and analysing data using an online project management program
- Contribute creative ideas to the marketing/communications plan for the LEX
- Contributing creative ideas to the overall event plan for the LEX
Responsibilities include:
- Responsible for assisting the Competitions Coordinator to achieve the goals set out in the event plan specific to the competitive and agricultural aspects of the LEX
- Responsible for assisting the Competitions Coordinator with creative problem solving and troubleshooting as needed in areas that include working with the online project management program, communicating with volunteers, generating documents, quickly adapting to unforeseen circumstances
- Responsible for receiving and implement constructive feedback from supervisors, colleagues, volunteers, and the public
- Responsible for client service and general administration duties such as answering phones, responding to emails, communicating with sponsors, supporting volunteers, selling merchandise and tickets, processing payments, and interacting with the public
- Responsible for taking the lead on at least one key project within the scope of either the marketing/communications plan or event plan for the LEX (opportunities for more leadership opportunities as they progress in the position)
Required skills:
- Proficiency with MS Office suite of software applications (Word, Excel, etc.) is required;
- Proficiency using GSuite is required;
- Experience in an office setting with customer service duties is required;
- Ability to maintain a high degree of organization in a fast-paced environment is required;
- Ability to maintain a sense of humour during times of competing priorities in a demanding environment (during the LEX) is mandatory
- Demonstrated ability to work in a team environment is required;
- Experience using web-based applications with a browser interface an asset;
