The Board of Directors of the Ontario Ground Water Association (OGWA) seeks an Office Assistant who will be responsible to the Office Manager:
SUMMARY OF PRIMARY JOB FUNCTIONS:
GENERAL:
- General administration: mail, phone, filing, printing, shipping, equipment maintenance, order supplies, assist with mailings
- Maintain the online membership database
- Learn the OGWA website system for updating of website pages
- Update and maintain electronic and paper filing of documents, per OGWA Records Retention Policy
ADMINISTRATION SUPPORT:
- Update event registrations and membership data
- Create reports as requested
- Distribute documents, via email and mail
- Continuing Education and Regionals:
- Maintenance of attendance records and
- PowerPoint, print versions, transfers to USB, Google Drive, etc.
- Update Calendar of events, with attention to accuracy and timeliness
- Carry out appropriate referrals to other staff on requests for information, such as for accounts, membership, events, or public inquiries
- Travel arrangements, lodging, and meal planning, as needed
- Carry out marketing of the Association, as directed, including to members via database, mail out, drip marketing, or social media
- Update and complete the Monitoring Logs to keep workflow on track (Trello, reports, and spreadsheets)
- Support the Office Manager with coordination and execution for meetings, including agendas, reserving and preparing facilities, as needed
- Assist Office Manager with materials for quarterly publication of the OGWA Source Magazine insert
- May be asked to attend and provide support at some or all OGWA functions (AGM, Golf, etcetera)
- Other duties not yet identified
MINIMUM QUALIFICATIONS:
- At least 2 years of experience in an office assistance capacity is required
- Post Secondary courses in Administrative Studies or equivalent experience preferred
- Proficient with Microsoft Office products (Outlook, Word, Excel, Teams, Power Point), online email (i.e. Outlook, Gmail) and videoconferencing applications (i.e. Zoom, Teams, etc.)
- Experience with website content management or online membership database management would be beneficial
Job Types: Part-time, Permanent
Salary: $19.50 per hour
Expected hours: 16 – 21 per week
