Copeland has an opening for an Office Assistant, reporting to the Manager of Educational Services and Outreach. In this position, you will be responsible for assisting a number of departments with day-to-day tasks for general office duties, in addition to ensuring our external customers have a positive experience when visiting our Canadian headquarters in Brantford, Ontario. In this role, no day will be the same!
Responsibilities:
- Administrative Support:
- Assist with day-to-day administrative tasks, including phone calls, emails, and correspondence.
- Maintain and organize files, documents, and records.
- Client and Visitor Interaction:
- Greet and assist visitors, clients, or vendors.
- Provide pleasant and professional assistance, and advising inquiries or requests to the appropriate person or department.
- Event Management:
- Book catering, organize all printed materials, grocery shopping, coordinating packages for remote sessions, and event cleanup such as cleaning tables and washing dishes.
- Data Entry and Documentation:
- Input and manage data in databases or spreadsheets.
- Prepare reports, presentations, and other documentation as the need arises.
- Support Various Departments:
- Collaborate with different teams to provide assistance and support on specific projects or tasks.
- Be adaptable and ready to assist wherever necessary.
Required Education, Experience & Skills:
- Education:
- High School Diploma or equivalent experience, plus 5 years of hospitality/event coordination experience.
- Organizational Skills:
- Ability to prioritize tasks and manage time effectively.
- Strong organizational skills to handle multiple responsibilities simultaneously.
- Communication:
- Excellent verbal and written communication skills.
- Ability to interact professionally with internal and external stakeholders.
- Attention to Detail:
- Keen attention to detail in tasks, documentation, and communication to ensure accuracy and quality.
- Adaptability:
- Flexibility to adapt to changing priorities and work environments.
- Willingness to tackle new tasks and responsibilities as needed.
- Tech Proficiency:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office equipment (printers, scanners, etc.).
- Experience with basic office software and tools.
- Previous Experience:
- Prior experience in an administrative or office support role is advantageous but not mandatory.
- Willingness to learn and grow in the position.
- Ability to lift/carry up to 35lbs.
Authorization to work in Canada without sponsorship now and in the future required.
