Overview
We are looking for a permanent full-time Office Manager/Senior Bookkeeper to lead our small administration team in Lantzville, British Columbia.
We are a family-owned and operated group of companies, having operated on Vancouver Island for 28 years. Our office is located on 18 acres and is a dog-friendly office environment.
Under the direction of the Owners, you will be responsible for leading administrative aspects of the business including union and non-union payroll, bookkeeping, HR and benefits administration, and more.
You want to make an impact and be a key contributor in the overall operations of a small business. You have 5+ years of bookkeeping experience, extensive knowledge of Canadian payroll and employment law, have formal payroll or bookkeeping education, the ability to lead and train others, and a strong attention to detail.
Since we are a small team, we expect our team members to work independently, manage their time appropriately, and wear a number of different hats as we collectively contribute to the team’s success.
Core Duties and Responsibilities
Administration & Bookkeeping:
- Manage company bank accounts and expenses, including credit card management & reconciliations
- Prepare & maintain monthly/quarterly GST returns
- Complete Employer Health Tax instalments & annual filing
- Manage accounts payable/purchase orders, driving accuracy and on-time payment of vendor invoices.
- Co-ordinate with Owner regarding bank transfers in order to maintain on time payables.
- Work closely with Project Manager on construction project administration activities including budgeting and Progress Draw Requests
- Maintain the General Ledgers, analyze and make any necessary adjustments prior to preparing month end statements for the owner(s).
- Manage monthly rental and other incomes as needed
- Maintain and balance monthly intercompany transactions, prepare & post necessary intercompany invoicing
- Prepare periodic cash flow statements to assist with decision making
- Prepare necessary documents to Accountants office for year-end preparation, post and balance any adjustments as directed.
- Prepare annual Triple Net reconciliations
- Calculate & invoice property tax allocations
- Lead shareholder administration including preparation of tax instalments and payments as directed
Office Management:
- Maintain inventory and order office supplies as needed
- Maintain relationships & coordinate repairs or maintenance with photocopier supplier & IT personnel
- Be trusted to take on special projects as needed, which may span different areas of the business
Payroll:
- Support the administration of bi-weekly payroll for approximately 20 union and non-union employees and subcontractors
- Support the preparation and maintenance of payroll and related government remittances/filings, accounts receivable, expenses, payroll taxes and Workers’ Compensation Board (WCB) transactions
- Support the preparation of T4s and Records of Employment
- Support the administration of benefits and RRSP plans
- Update employee cost spreadsheets as required
- Audit spreadsheets for annual rate negotiation meetings
- Lead payroll, pension, and disability audits and inquiries
Qualifications, Education, Experience
- 5+ years of bookkeeping and administrative experience in an office environment
- Strong understanding of Canadian payroll & employment law
- Certificate or Diploma in Bookkeeping, Business Administration, or Accounting
- Solid understanding of Sage 50 & Microsoft Office (Excel, Word, Outlook)

Job Types: Full-time, Permanent
Salary: $30.00-$34.00 per hour
