Utilities Operations Support - Full Time External Job Posting

The Operations Support will perform a variety of complex, responsible and confidential administrative duties requiring the ability to work independently, exercising good judgment and initiative. The selected candidate will provide support to the General Manager of Utilities.
Responsibilities:
- Administers the Council Committee Reports for the General Manager; composes, edits and types reports. Types and edits the Utilities Department Supervisory Reports when necessary. Responsible for posting reports onto City’s intranet.
- Administers the Utilities Department’s tracking system for Customer complaints / concerns; maintains a manual tracking system, forwards to respective departments and the O.P.P. (if required) for review and comment. Works directly with the Supervisors under the General Manager to progress issues and ensure files are tracked for follow up. Provides written follow-up to respective customers where warranted.
- Provide coverage on an as needed basis for Desk Attendants.
- Train and assist part-time staff with day-to-day operations of the Solid Waste & Recycling operation.
- Reconcile month end for the Solid Waste financials for review by the supervisor.
- Assists the General Manager of Utilities with day-to-day work and special projects as they arise including correspondence, research and preparation of spreadsheets, letters and reports along with routine clerical work such as typing, mail processing, purchase of office supplies, arranging copier / printer supplies and maintenance, and arranges meetings upon request.
- Take minutes of meetings when required.
- Ability to work with highly sensitive and confidential maters and maintain strict confidentiality at all times, is a mandatory requisite of employment in this position.
- Grade 12 Diploma or equivalent.
- Diploma in Office Administration; Specialized courses in general office practices and procedures; typing, transcribing, writing correspondence and reports etc.
- Minimum of three (3) years’ experience working with Microsoft Excel and Word. Experience using Microsoft Access would be considered an asset.
- Demonstrated ability to communicate effectively verbally and in writing.
- An understanding of Municipal operations and a thorough knowledge of the Procedural By-Law; Council Committee Report protocol and a thorough knowledge of departmental responsibility would be considered an asset.
- Demonstrated knowledge and proficiency in the correct English usage, grammar, spelling and punctuation; office methods and procedures, computer equipment and filing systems, business letter and report writing techniques; proofreading and editing, record keeping principles.
- Performing responsible administrative, secretarial / clerical work requiring judgment, speed and accuracy. Accurate keyboarding skills. Minimum typing speed of 60 w.p.m.
- Ability to handle irate members of the public, either in person or over the phone, in a courteous, helpful and effective manner.
- Ability to work under pressure and with interruptions; able to prioritize a heavy workload and ability to consistently meet deadlines.
Hours of Work: Monday - Friday
Salary & Benefits: Benefits in accordance with Collective Agreement. $28.90/hr
