Can-Traffic is looking for a Receptionist/Admin Assistant to work under the guidance of the Controller. As the first point of contact for visitors the Receptionist/Admin Assistant must be professional, polite and helpful. The incumbent will be responsible for a variety of routine clerical, reception, and office support functions.
What you will do Everyday
- Oversee the company administrative activities, including but not limited to answering phones, respond to emails, mail, filing, ordering, daily outgoing courier requirements, appointment scheduling, daily mail, uniform management, certification tracking, fuel card management
- Prepare and/or assist in the preparation of documents, presentations, and reports for use by the various departments.
- Manage special projects as needed to support the operations and manage ad-hoc requests such as client events, sponsorship or donations, catering, etc.
- Compile and process data, verifying correctness, accuracy and consistency of information following established procedures and within timelines.
- Assist Human Resources, Safety and Fleet with data entry tasks and database maintenance.
- Assist with the orientation/onboarding of new hires and the training of all employees and contractors where needed.
- Provide support to other staff members as needed
- Provide back up support and/or other support functions to the various Can-Traffic departments.
- Other duties as required.
Skills Required
- Sound knowledge of administrative and general office procedures
- Ability to multi-task and adapt to changing priorities while working under pressure to meet deadlines
- Extensive knowledge of relevant computer programs such as Share Point, Microsoft O365 suite, and Adobe
- Exceptional interpersonal, communication, and customer service skills with the ability to communicate verbally and in writing
- Ability to analyze, problem solve and manage multiple tasks under tight deadlines with frequent interruptions
- Ability to work with minimal supervision and within a team environment
- Ability to recognize and deal with matters of a confidential nature in a discrete and professional manner
- Ability to learn new practices, procedures and processes.
- Strong work ethic, punctuality, and reliability
Qualifications Needed
- High School diploma with three (3) years of related experience in a similar position
- Office administration diploma/certificate from an accredited program/institution is an asset
