WHAT YOU WILL BE DOING:
The Service Center Administrator is responsible for maintaining office and operational efficiency by planning and implementing office systems and services. This position will be based out of our Grande Prairie Service Center. Workdays will be Monday to Friday, 8:00 a.m. to 4:30 p.m.

RESPONSIBILITIES:
- Maintain office services by organizing office operations
- Oversee and approval of orders for stationery and other office supplies (coffee, etc)
- Coordinate the maintenance and repair of office equipment such as phone system, copier and fax
- Coordinate and oversee facility vendors for janitorial, bathroom supplies, mat and coverall cleaning, etc
- Manage facility security system and liaison with Security Company on all security issues
- Issue and process purchase orders and complete associated paperwork with purchase processing
- Coordinate the ordering, issuing, cancelling and tracking of master cards, fuel cards, cell phones including the reconciliation of the MasterCard statements
- Review, code and attach all supporting documentation to all incoming invoices
- Put service orders on ticket tracker, bonus levels tracking
- Provide administrative support to Operations management including:
- Preparation and editing of correspondence, communications, presentation and other documents
- File and retrieve documents and reference materials
- Conduct research, assemble and analyze data to prepare reports and documents
- Arrange travel and hotel accommodations as required
- Co-ordinate project-based work
- Assist internal professionals with facility orientations and logistics
- Assist in organizing and communicating company social functions, and meetings
- Supervise and train junior level administrative staff
- Monthly reporting. IE: Inventory, service order logs, field professional’s time sheets, quarterly reporting
- Coordinate and maintenance of all office phones – ordering phones for new staff, voicemail etc
- Ensure housekeeping standards are met at all times
- Attend and participate in weekly safety meetings
- Any other duties as directed by District Manager
QUALIFICATIONS
- Post-secondary education specifically in office administration preferred
- 5-7 years’ experience in a senior administrative position
- Working knowledge of Microsoft Excel and Outlook to enable competency in all aspects of day to day operations involving spreadsheets and daily communication
- Excellent ability to think quickly and make the most effective decisions in high pressure situations
- Leadership and customer service skills
KEY COMPETENCIES
- Previous work history in oilfield services.
- Ability to work in a team environment with interpersonal communication skills – written and oral
- Strong business sense
- Strong ability to organize daily tasks and work within defined timelines to meet operational requirements as well as document completion and submitting as required
- Proven ability to perform confidently, accurately, professionally and thoroughly in a fast paced detail oriented environment while supporting all management decisions
