Reporting to the Senior Manager, Staffing, Recruitment & Contract Services, Secondary Teaching, the Staffing and Recruitment Assistant, Secondary Teaching will provide coordination of various aspects of the Secondary Teaching Office including:
• Development and implementation of effective processes for placement of student teachers in secondary and junior high schools;
• Liaison with TDSB staff, Executive Office, unions, College of Teachers, Ministry of Education;
• Responding to inquiries and liaison with staff, the public and external organizations;
• Providing administrative support to the staffing process for secondary teachers, the recruitment and hiring of secondary contract teachers in both schools and central positions as well as elementary and secondary occasional teachers;
• Supervision of designated staff;
• Providing confidential administrative support to the Senior Manager, Secondary Staffing and Recruitment; and
• Researching and preparing reports for the Senior Manager.
Summary of Duties:
➢ Act as the key liaison to provide information to Principals and Faculties of Education in Ontario and the United States regarding TDSB placement of student teachers in secondary and junior high schools;
➢ Develop and implement effective processes for placement of student teachers in secondary and junior high schools;
➢ Track student teacher placements and develop effective reporting mechanisms;
➢ Develop statistical analysis of placements and new teacher hiring that will provide data for future recruitment initiatives;
➢ Provide administrative support to the:
• staffing process for secondary teachers including recruitment and hiring of secondary contract and elementary and secondary occasional teachers;
• Track transactions reflecting teacher transfer and placement at the Secondary Teaching staffing table;
• annual negotiation of the Secondary Staffing Binder with the union including preparing drafts sections of the binder, final draft for printing and organization of distribution of the binder to Principals, Senior Team, the union and the department;
➢ Supervise designated staff;
➢ Collect, record, compile, analyse and prepare information for reports and Briefing Notes for the Executive Office;
➢ Act as key liaison with Communications and Public Affairs and the Senior Team to maintain and update the internal website for the Secondary Teaching Office;
➢ Provide confidential administrative support to Senior Manager;
➢ Create and produce a wide variety of reports and correspondence (e.g. confidential reports, letters, memos, e-mails, dealing with grievances, labour relations, performance appraisal, legal, and budget matters);
➢ Schedule meetings, prepare agendas, take and distribute meetings, including any follow-up actions required;
➢ Create and track attendance records for the Secondary Teaching Office;
➢ Monitor and maintain budget, petty cash, budget reports utilizing SAP;
➢ Co-ordinate/organize venues and refreshments and liaise with permit office, schools and caterers;
➢ Respond to both internal and external inquiries regarding policies, procedures, collective agreement issues, employment/labour legislation and redirect calls as appropriate;
➢ Liaise with TDSB staff, Executive Office, unions, College of Teachers, Ministry of Education; and
➢ Other duties as assigned.
Qualifications:
➢ Secondary school diploma plus one year additional course work in Business Administration including courses in computers, human resources, business writing and communications with three years of progressively responsible related administrative experience administering staffing provisions and handling a broad range of administrative matters, including composing and editing correspondence, tracking and monitoring departmental budget, taking and transcribing minutes and preparing agendas, etc. in matters in a Human Resources environment, or an equivalent combination of education and experience;
➢ Proficient keyboarding and computer skills that will include spreadsheet and database applications; HR/Payroll and Financial information systems, email, wordprocessing, presentation packages and internet;
➢ Proven ability to communicate effectively (both orally and in writing) with staff, community, parents, students and external organizations;
➢ Proven supervisory experience with strong team building skills;
➢ Proven ability to organize and co-ordinate a diverse number of projects;
➢ Demonstrated ability to handle matters requiring high levels of diplomacy, sensitivity and confidentiality;
➢ Knowledge and understanding of related Board and/or departmental policies and procedures, collective agreements, Ministry directives, etc.;
➢ Demonstrated ability to manage a budget;
➢ Proven work organization and time management skills;
➢ Proven ability to prepare accurate reports and summaries; and
➢ Ability to take initiative.
Special Requirements:
➢ Must be available to work evenings sometimes with minimal or no notice.
➢ Occasional travel across TDSB
