The NAIT Academic Staff Association (NASA) was established in 1982 and represents more than 1000 faculty members at the Northern Alberta Institute of Technology (NAIT) – a polytechnic committed to student success. NASA’s mission is to serve its membership through contract negotiations and advocacy while fostering academic excellence through open communication, professional and personal development, and mutual respect.
POSITION SUMMARY
This full-time (1.0) position provides administrative support to the President, VP Communications, VP Membership Engagement, Executive Officer, Labour Relations Director, and committees of NASA. The tasks of this position include general office duties, membership information management, database and email management, labour relations support, event planning, website maintenance and various other support functions. This position is not remote.
ROLES AND RESPONSIBILITIES
· Reception – Warmly greet and welcome visitors to the office, while helping to communicate the union's goals and promote ongoing actions. Answer and redirect phone calls and emails.
· Administration – Prepare communication documents, meeting agendas and minutes, oversee document control, with a focus on digital/cloud-based storage.
· Meetings & Events – Coordinate meeting times among committee members, arrange committee meetings (in person and online), organize and set up multiple member events of various sizes each year.
· Communications & Technology - Website management, newsletter development and distribution.
· Executive Support - Support Executive Officer, Labour Relations Director, President, Vice Presidents, and committees with various duties as required.
QUALIFICATIONS
· 3+ years work experience in an executive administrative role.
· Excellent verbal and written communications, including minute-taking, editing, and proofreading.
· A positive attitude and ability to foster positive working relationships.
· Strong skills in (or the ability to quickly learn) a variety of computer software applications, including Outlook, Word, Excel, Adobe Acrobat, Google Drive, WordPress, and Elementor.
· Effective multitasking and time-management skills, with ability to prioritize tasks.
· Strong initiative and ability to work independently or as part of a team.
· Experience in a union setting is preferred.
