We are on the lookout for an Executive Assistant who embodies professionalism, organization, and a forward-thinking mindset. This pivotal role offers the unique opportunity to support our President and Vice-president, playing a key role in the strategic planning and execution that drives our company forward. With responsibilities ranging from managing schedules to facilitating internal and external communication, the Executive Assistant is at the heart of our operations.

Although you will be working remotely,you will need to reside in the Greater Edmonton Area and be available for in-person meetings with reasonable notice. We are not relocating anyone for this position.

Work Environment

Since Covid, Digital Tea has gone fully remote, and are looking for an exceptionally organized individual to help take our company to the next level. Your work will have a meaningful influence on a fascinating cross-section of staff, contractors and clients. From non-for profit organizations to international oil and gas companies, our portfolio is constantly changing and growing. We are a team of 10 and looking to grow in 2024.

Position Overview

This is a remote position, but the successful applicant must reside in the Greater Edmonton area .

This position requires you to work closely with the President (and Vice President) while overseeing projects, communications, contracts, deadlines, and other various aspects of the organization, all while still being able to flex your creative muscle by providing creative writing solutions for Digital Tea itself as well as its customers, creating social media content and continually looking for ways to streamline processes and contribute to our brand by raising the bar in every aspect of what we do.

Duties

  • Email & Support Triage
  • Scheduling
  • Customer & staff follow-ups
  • Research, compile and summarize information for various reports
  • Document/file management
  • Grant research and writing
  • Attend meetings and take accurate minutes
  • Invoicing and light accounting duties
  • Contract review and creation
  • Project QA
  • Demonstrate leadership
  • Acts as an ambassador for the company
  • Ability to work independently with minimal guidance.
  • Meet with the President regularly to discuss upcoming priorities and aid in planning and executing various tasks, projects, and initiatives.
  • Monitor and assist in managing the President’s calendar and assist with their Email. This includes strategic blocking of time for tasks, negotiating meeting times for internal and external stakeholders, liaising with clients, contractors and staff, as well as rearranging schedules in response to urgent matters.
  • Ensure that the President and team members have appropriate background, documents and briefing for any of the meetings and/or events.
  • Independently coordinate and develop procedural material for the business.
  • Continually look for opportunities to streamline and improve business operations.

Minimum Qualifications

  • Minimum of 7 years of experience in an executive support role that requires superior management and organizational skills.
  • Work experience in an IT or digital solutions environment is preferred.
  • Expert-level writing and verbal communication skills.
  • Exceptional attention to detail.
  • Ability to learn quickly.
  • Experience working in a fast-paced and dynamic environment.
  • Strong organizational, project management, and problem-solving skills with impeccable multi-tasking abilities.
  • Exceptional interpersonal skills and the ability to build relationships with staff, contractors and clients.
  • Proficiency in Microsoft Office Suite and Google Docs.
  • Discretion and confidentiality are paramount.

Preferred Qualifications

  • Strong analytical, consultation, and communication skills.
  • Ability to act decisively and independently and to exercise a high degree of initiative, judgement and discretion.
  • Proven ability to handle multiple priorities and deadlines simultaneously.
  • Ability to manage, influence, and relate to diverse groups; comfortable working at the executive level and with operational leaders.
  • Demonstrated problem-solving, critical thinking, and facilitation skills.
  • Social Media Experience (Facebook, Instagram, LinkedIn and X).
  • Search Engine Optimization (SEO) and Digital Marketing Experience (On-page and Google Ads management).
  • A good eye for design.

What we Offer

  • A full-time position in the company.
  • Company-provided laptop.
  • 4 weeks paid vacation after 12 mo. ~8% accrual.
  • Blue Cross or equivalent reimbursement after three months (up to $150 - negotiable).
  • $1,500 ‘stay’ bonus after 1 year, and $2,500 after year 2.
