The Supplier Accounts Receivables Clerk role at Maritime Travel works with the Vendor payables team responsible for reviewing and preparing payments to be made to travel suppliers and reconciling commission received from the travel supplier for travel bookings. The team is part of our corporate support office where we centralize the accounting function for our 90+ independent retail locations across Canada and the position will be based out of our head office located in downtown Halifax NS with flexibility provided to enable a work from home option.
Key Responsibilities of the Supplier Accounts Receivables Clerk role include:
- Locate and notify suppliers by mail, telephone, or email to solicit payment of overdue accounts
- Maintain database contact information for all suppliers
- Contact sales agents by telephone and email to verify that sales booking information is correct
- Reconcile booking and payment information
- Contact suppliers with booking information to request payments
- Follow up with Branches and Suppliers on locating mailed/EFT payments
- Prepare and send accurate statements to suppliers on a bi-monthly basis
- Keep accurate records of collection efforts and status of accounts
- Prepare aged trial balance reports
- Post payments and work with Vendor Payables group as assigned by Manager
Additional responsibilities will be assigned as appropriate by the Accounting Director when there is down-time associated with the primary focus of the role. These additional tasks might include posting commission payments received, reconciling supplier statements to the Company’s travel accounting system, or assisting with other procedures associated to the completion of the Company’s fiscal year-end.
The ideal candidate will have:
- An intermediate working knowledge of Microsoft Excel using basic formulas and functions;
- Some experience / comfort working within accounting systems;
- Experience preparing / working with account reconciliations;
- Effective problem solving, analytical and reconciliation skills;
- Be team oriented but also have the ability to work independently with minimal supervision; and
- Possess professional communication skills, both written and oral, to interact with our agents and suppliers.
