Under the supervision of the Quality Assurance Supervisor the Supports and Services Assistant supports the Association, with duties to include but not limited to overall program support, office administration and coordination, and overall administrative support to ensure efficient operation of the Association. This position fulfills its duties in an environment of accountability, rights and respect that is consistent with Community Living Dufferin’s Mission, Vision, Values and the strategic plan and standards as well as relevant regulations/legislation.
Budget Responsibilities:
- Maintains petty cash and VISA card for all program(s) and submits receipts/vouchers to Finance for payment.
- Codes invoices and receipts to appropriate accounts.
- Monitors and purchases items from Amazon business as well as bigger item purchases for programs as needed.
- Procurement of supplies to reduce costs for the Association as requested.
Staff Related Responsibilities:
- Responds to staff inquiries.
Program Responsibilities:
- Submits, monitors, and follows up on maintenance requests.
- Updates forms as required/requested.
- Scans and photocopies as required.
- Completes Employment Services and Passport annual reports as required.
- Provides monthly serious occurrence report to the Executive Director
- Schedules and attend the Rights Committee, ensures programs are notified in advance and takes minutes. Is responsible for obtaining Senior Leadership signatories following the meetings and for the uploading of documentation.
- Assists with AIMS data entry as required.
- Monitors copier room for organization and cleanliness
Scheduling Responsibilities
- On call and scheduling support as needed.
Qualifications
- 2-year Community College Diploma in a related discipline.
- Two years of experience in general office procedures including typing and data entry.
- Accurate and efficient typing, and general use of computers, copiers .
- Proficiency in Computer Programs, Microsoft Suites, internet browsers etc.
Other Job Requirements
- Must be able to work flexible hours including evenings and weekends as necessary.
- On Call and scheduling support as needed
- Must have a satisfactory medical examination. Must have a clear criminal record check with vulnerable sector screening.
