Experience in a vet clinic or with animals is mandatory. VOA training and experience with Cornerstone an asset.
Duties:
General
- Greeting and assisting clients
- Runs EOD/EOM and checks balance reports for accuracy, ensuring to verify all values in the Cash Sheets; cash handling and float balancing
- Prioritize teamwork and considerate communication when dealing with staff and clients
- Answer the phone in a professional manner.
- Calls clients to remind them of upcoming appointments, inform of any preventatives or procedures necessary to their pet’s health; ensuring clients arrive on time for appointments and rescheduling if running behind or appointment was missed
- Able to check clients out in a timely manner, even if the phone is ringing and there is a lot going on up front, able to maintain organization to keep workflow moving and attend to client needs
- Understands how to navigate Cornerstone to efficiently schedule appointments, check clients in and out, and look up records of patients, input records into patient file, invoice appropriately and ensure accuracy
- Maintains client records by documenting all medical/non-medical (scheduling, cancelling appts etc) conversations had with clients; ensures call backs and patient reminders are accurate and up to date in computer system
- Verifying address and phone numbers are correct, ensuring correct punctuation and spelling
- Ensures clients are not waiting longer than 10 minutes, notifying client if there will be a wait (eg: waiting in exam room). Clients should never wait for longer than 5 minutes on the phone
- Ensures clients have all items given to them by the veterinary team and questions answered; goes over invoice in detail when cashing out
- Able to handle clients when they are upset or angry utilizing appropriate conflict management techniques
- Keeps drawers and exam rooms organized and stocked with necessary supplies, printer stocked with paper, and ensures the front office is appropriately stocked by alerting the management team when supplies are low
Hospital Maintenance:
- Understands the importance of a clean and orderly facility that smells good! Reception area should be clean and organized throughout the day including keeping outside grounds free of garbage, feces daily; cleans exterior windows and front door
- Exceptional cleanliness of exam rooms, client restroom, break room and lobby based on daily duties (eg: wiping walls of exam rooms/waiting area of debris, “dust bunnies”, counters)
- Understanding of proper disinfection protocols for exam rooms between patients
- Daily vacuuming and mopping of floors with provided equipment and supplies, empty all trash cans in between patients if needed
- Informs practice manager and/or building management company of any building issues or equipment in need of service
- Proper care and maintenance of all office equipment including printers, telephones and computers
Pharmacy:
- Ensures prescriptions go to outside pharmacy promptly as requested by the client or doctor, ability to prioritize requests for in clinic patients
- Promptly checking voicemails and emails for prescription refill requests from clients
- Appropriately fills out RX Refill Request in Cornerstone and follows appropriate steps as outlined in SOP
- Prepares approved and filled prescriptions and has a licenced team member double check appropriate medications and dosages were filled
Miscellaneous:
- Performs any other duties as requested by the Lead CCR, Veterinarians, Assistant Practice Manager or Practice Manager as needed for effective operations
